Summary/Objective:

The role encompasses a range of financial, bookkeeping, and credit responsibilities in accordance with established guidelines and protocols. This position demands strong communication abilities, meticulous attention to detail, and mathematical precision. Resolving outstanding issues is a crucial aspect of the role. Additional duties include daily invoicing, bank deposits, transaction processing, and account oversight.

Key Responsibilities:

  • Execute and document daily invoicing to ensure alignment with A/R Control.
  • Conduct audits, document, and reconcile daily sales/cash receipts against various reports.
  • Manage EDI file transfers, ensuring the accuracy of records prior to submission.
  • Investigate and process credits for customer accounts.
  • Receive and evaluate credit applications.
  • Engage with customers to address outstanding balances.
  • Handle and resolve customer inquiries related to invoices/accounts.
  • Process and document co-op advertising credits in compliance with company policy.
  • Oversee account monitoring and review.
  • Manage and record credit card transactions and adjustments.
  • Prepare daily manual deposits and allocate them to customer accounts.
  • Compile and balance monthly financial records.
  • Assist with special projects as needed.
  • Gather statistics and prepare various reports for management review.
  • Analyze and standardize procedures to enhance operational efficiency.

Supervisory Responsibilities:

This position does not entail supervisory duties.

Work Environment:

This role is situated in a clerical office environment. Standard office equipment such as computers, telephones, photocopiers, filing cabinets, and fax machines are routinely utilized.

Technical Skills:

Proficiency in O365; Microsoft Excel; Microsoft Word. Capable of typing at least 45+ words per minute; proficient with 10-key adding machines.

Physical Requirements:

This is primarily a sedentary position; however, some filing is necessary, which may require lifting files, opening filing cabinets, and bending or standing on a stool as needed.

While performing this role, the employee is regularly required to communicate verbally and listen. The employee frequently needs to sit, stand, walk, use hands for manipulation, and reach with hands and arms.

Position Type and Expected Hours of Work:

This is a full-time, non-exempt role, with typical work hours from Monday to Friday, 8:00 a.m. to 5:00 p.m. Overtime is not anticipated and must be authorized by the immediate supervisor. A full hour for lunch is provided, with occasional flexibility available through management.

Qualifications:

  • High school diploma or GED equivalent.
  • 3-5 years of experience in a related field.
