Position Overview:

The Receivables Operations Supervisor acts as a vital support for the Controller, Sales Team, and Customer Service Representatives (CSRs). This role involves identifying and evaluating workflow challenges and proposing/implementing solutions for enhancement. The Supervisor manages collection escalation matters prior to escalating them to the Controller, offering insights and coordinating with credit collection agencies.

Key Responsibilities:

  • Oversee the preparation of monthly chargeback and aging reports, along with any additional reports as required.
  • Conduct monthly reconciliations and analyses of customer accounts.
  • Prepare monthly journal entries related to bad debt reserves and chargebacks.
  • Manage chargeback processes by generating monthly reports for leadership and facilitating meetings with customer service, sales, and supply chain teams to ensure timely resolution of chargebacks.
  • Initiate follow-ups, manage write-offs, and oversee credit memo delegations with customer service.
  • Lead a small team within the Accounts Receivable department and collaborate with temporary staff as necessary.

Daily Functions:

  • Engage in routine accounting tasks (both domestic and international), including reviewing credit block reports, approving creditworthy customers, processing prepayments, cash applications, and addressing inquiries from customers and sales representatives.
  • Coordinate with sales, CSRs, and logistics to ensure orders are shipped in accordance with established terms and policies.
  • Collaborate with internal teams (sales, customer service, finance, IT) to address cross-departmental needs and resolve issues.

Meetings and Reporting:

  • Organize and prepare monthly meetings and reports regarding chargeback and credit issues with the Wholesale team.
  • Research and categorize chargebacks, following up with customer service, supply chain, sales, and customers as needed.

Account Management:

  • Run accounts receivable aging reports and address overdue accounts.
  • Monitor customer account details for non-payments, chargebacks, and other discrepancies.
  • Engage with customers regarding credit blocks and collections, involving sales personnel when necessary.

Team Leadership:

  • Train Accounts Receivable staff on systems and concepts, managing and guiding team members.
  • Conduct regular follow-ups and reviews of team performance, escalating issues as required and suggesting improvements.
  • Perform bi-annual performance evaluations and oversee any temporary staff assigned to the team.

Collaboration with Finance:

  • Work alongside the finance team to support projects, generate ad hoc reports, and produce monthly AR reports.
  • Lead audits (financial and bank) related to AR details and subledger information.

Reporting and Evaluation:

  • Generate and manage all finance-related AR reporting and audit requests.
  • Assess and establish credit terms for both new and existing accounts.

Qualifications:

  • 3-5 years of experience in Accounting and/or Finance, with a focus on Accounts Receivable.
  • 3-5 years of experience in leading and managing a team.
  • Proven ability to research and resolve complex chargebacks or unapplied payments.
  • Strong understanding of systems and reporting, particularly with SAP and business intelligence.
  • Highly organized, detail-oriented, and capable of managing multiple tasks simultaneously.
  • Excellent relational and analytical skills.
  • Self-motivated with a strong sense of urgency and an entrepreneurial mindset.
  • Exceptional oral and written communication abilities.
