Payroll Accountant

This role is a full-time, 12-month position governed by the Professional Support Staff (PSS) Union, offering an annual salary of $41,000.

Key Responsibilities:

  • Manage the electronic timecard system, providing training for employees and assistance for supervisors; conduct audits and reviews of electronic data in compliance with institutional policies and legal standards.
  • Oversee payroll processing, including data verification, pay calculations, check and pay advice generation, tax preparation and filing, submission of retirement reports and payments, ACH processing, and general ledger entries.
  • Prepare and evaluate faculty assignments submitted by academic departments for course-related payments.
  • Process load reports and implement wage adjustments for exception payments.
  • Utilize electronic communication to disseminate payroll notices and updates to specific employee groups.
  • Input information into the payroll system for accurate paycheck calculations, encompassing position, assignment, wages, taxes, benefits, deductions, direct deposits, employee status changes, and Federal Work Study.
  • Promptly address errors and make necessary corrections to payroll-related reports and records.
  • Respond to inquiries regarding payroll procedures and issues via telephone, written communication, and in-person interactions.
  • Review payroll bank account activities for lost or misplaced payroll checks, issue stop payment orders, and process manual replacement checks as required.
  • Reconcile deductions and benefits against billing statements.
  • Analyze incoming payroll data from various departments for accuracy and compliance with institutional policies, state and federal regulations; engage with employees and supervisory staff to collect missing or incorrect information.
  • Train in all payroll functions and provide assistance to other team members as necessary.
  • Act in the absence of the Payroll Manager when required.
  • Perform additional duties as assigned.

Minimum Qualifications:

  • Associate's degree in Accounting, Business Administration, Finance, Economics, or a related field, or equivalent work experience; or a combination of college coursework and work experience.
  • Understanding of business principles and practices, as well as data analysis and reporting.
  • Ability to pass a criminal background check with fingerprinting.
  • Exhibit professionalism, tact, and diplomacy in all interactions with faculty, staff, and students.
  • Proficient in Microsoft Office Suite, particularly Excel, with the capacity to learn new systems and technologies.
  • Strong verbal, mathematical, and accounting skills sufficient for preparing correspondence, bills, and reports, and for effective communication.
  • Familiarity with record-keeping principles and procedures.
  • Knowledge of relevant government regulations and tax requirements.
  • Compliance with SURS return-to-work restrictions for employers is necessary for candidates.
