About the Role

We are seeking a highly skilled and organized Administrative Support Specialist to join our team at the City of Chesapeake. This is a full-time position that requires excellent administrative skills, attention to detail, and the ability to work in a fast-paced environment.

About You The ideal candidate will have a high school diploma or equivalent and at least three years of experience in administrative support. Proficiency in Microsoft Office Suite and PeopleSoft is required. Prior experience with Laserfiche, MUNIS, and CLICK is an asset. You will be able to work independently, prioritize tasks, and maintain confidentiality when handling sensitive information.

Key Responsibilities
  • Provide administrative support to the Human Resources department, including answering phones, responding to emails, and preparing documents.
  • Conduct or assist with prospective new hire paperwork, including background checks, identification badges, and fingerprinting.
  • Answer frequently asked questions from applicants and employees regarding policies, benefits, and hiring processes.
  • Pays invoices, creates requisitions for purchase orders, and maintains accurate records.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic review of files and records to ensure all required documents are collected and filed appropriately.
  • Assists with planning and execution of special events, such as benefits enrollment, organization-wide meetings, webinars, and employee recognition events.


Required Skills and Abilities
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Able to work in a fast-paced environment with varying deadlines.
  • Proficient with Microsoft Office Suite or related software.
  • Prior related office experience preferred.


What We Offer We offer a competitive salary range of $45,000 - $60,000 per year, depending on experience.
