Job Summary

The Administrative Support Specialist will provide critical support to a team of professionals in Blackstone's Global Corporate Affairs group, which includes Public Affairs, Marketing, and ESG. This team is responsible for managing internal and external communications for the firm, including interactions with media. The successful candidate will be responsible for:

  • Managing calendars, scheduling appointments, confirming meetings, and coordinating with other assistants
  • Answering calls and acting as a gatekeeper
  • Providing backup support for senior team members
  • Booking conference rooms for internal and external meetings, meeting and greeting guests, and registering them in the visitor's system
  • Completing detailed expense and out-of-pocket reports, including tracking receipts and project codes
  • Entering and maintaining contacts in Outlook
  • Coordinating travel arrangements, including flights, visas, cars, hotels, and other reservations
  • Creating and/or proofing briefing memos for media engagement
  • Maintaining and organizing files
  • Working on various ad-hoc projects
Requirements

  • Highly organized with strong attention to detail
  • Ability to multi-task and prioritize completing tasks and meeting deadlines
  • Perform duties with the highest level of confidentiality and integrity
  • Experience with coordinating travel arrangements
  • Strong Microsoft Office skills, including PowerPoint, with an emphasis on Outlook and Excel
  • Familiarity with Concur is preferred
