Administrative Support Specialist

**About the Job**
We are seeking an experienced Administrative Support Specialist to join our team at Contemporaries, a government contracting firm providing HR and Staff support to federal and private organizations. The successful candidate will work in a hybrid schedule, with 1-3 days in the office during a 5-day week. We require strong communication skills, reliability, punctuality, and ability to support executives and staff.
**Key Responsibilities**
- Manage multiple professional and shared calendars
- Schedule meetings, deliveries, and events
- Work with outside vendors for office services
- Organize, track, and re-supply office inventory
- Coordinate meetings, establish meeting rooms, provide meeting supplies, and send out invitations
- Participate in meetings by recording meeting minutes or notes, set up audiovisuals, and arrange seating
- Manage databases and data entry tasks, as well as managing physical files
- Assist with timekeeping and other HR related tasks
- Assist with travel arrangements and itineraries
- Manage verbal and written communication including managing phones, emails, and memos
- Manage documents including reports, letters, and memoranda
- Manage shipping and receiving of packages
**Requirements**
- 2-5 years of administrative support experience
- Minimum of a High school diploma, but a college degree is preferred
- Experience working for the federal government as a federal employee or contract employee is preferred
- Experience multi-tasking especially when it comes to managing calendars
- Experience managing documents and files both electronic and physical
- Property management experience
- Events and meeting management experience
- Excellent communication skills both verbal and written in the English language
- Strong customer service skills
- Team-oriented personality
**Estimated Salary:** $45,000 - $65,000 per year based on location and experience.
