Key Responsibilities:

Front Desk Coordination (90% of your time):

  • Provide exceptional customer service and administrative support.
  • Welcome patients and offer refreshments.
  • Manage patient check-ins and ensure the schedule accurately reflects appointment statuses.
  • Facilitate patient check-outs and schedule follow-up appointments.
  • Maintain accountability for the scheduling system.
  • Direct visitors to the appropriate personnel for assistance.
  • Conduct appointment confirmation calls.
  • Prepare and organize patient charts for the following day.
  • Maintain inventory of front office supplies.
  • Monitor and respond to emails, forwarding them to the relevant staff.
  • Organize and uphold the filing system.
  • Ensure the Front Desk and Lobby areas are tidy.
  • Handle billing processes, including payment processing and daily report generation.

Occasional Medical Assisting Duties (10% of your time):

  • Schedule post-operative appointments.
  • Ensure timely retrieval of patient records as needed.
  • Oversee the collection, processing, and maintenance of patient and clinical records.
  • Assist with pre-operative and post-operative visits as required.
  • Prepare the procedure room and ensure all pre-operative preparations are completed.
  • Clean and sterilize the operating room and instruments post-procedure.
  • Prepare necessary instruments and equipment for surgical procedures.
  • Assist with the application of post-procedure dressings and garments, prioritizing patient comfort.
  • Support colleagues in their duties as needed.
  • Maintain patient confidentiality and ensure compliance with HIPAA regulations.
  • Contribute to achieving Key Performance Indicators for operational and sales targets.
  • Explain treatment procedures and physician instructions to patients and caregivers as necessary.
  • Help maintain appropriate levels of medical supplies.

Physical Demands:

  • Utilize telecommunication and computer systems while interacting with patients and staff.
  • Maintain visual and auditory acuity.
  • Stand and walk for extended periods in a fast-paced environment.
  • Lift items weighing up to 25 pounds.

Key Skills and Qualifications:

  • Must hold a current BLS certification.
  • Ability to interpret various forms of instructions.
  • Proficient in writing reports and correspondence.
  • Strong problem-solving skills and logical reasoning abilities.
  • Familiarity with MS Office, particularly Excel.
  • Basic mathematical skills for calculations.
  • Knowledge of surgical and medical instruments.

Education:

Completion of a Medical Assistant program from an accredited institution, meeting state requirements.
