Job Summary

The Human Resources Coordinator plays a critical role in supporting the Central HR Office, providing strategic guidance and operational support for all human resources functions. This includes monitoring and organizing HR operations, developing and facilitating training for HR staff, and consulting on human resources policies and procedures.

Key Responsibilities
  • Central HR Guidance and Operational Support
    • Provides guidance and operational support to senior HR leaders and other Central HR staff, ensuring seamless execution of HR functions.
    • Consults with leadership and HR staff on human resources policies and procedures, providing expert guidance on policy adherence and best practices.
    • Oversees office operations and daily management of the office, analyzing and improving office procedures to optimize efficiency.
    • Provides logistical support for training sessions, workshops, and HR-related events, ensuring a smooth and successful experience for attendees.
    • Responds to employee inquiries about HR policies, procedures, and programs, providing timely and accurate information.
    • Supports on-boarding and off-boarding activities for Central HR employees, ensuring a seamless transition for new employees and efficient processing of personnel actions.
  • Training & Communications
    • Conducts needs assessments for training needs across Central HR, developing training plans to address areas of need.
    • Develops and facilitates training sessions for HR staff on various HR-related topics, including compliance, recruitment, and policy updates.
    • Creates and disseminates written training materials, ensuring clear and concise communication of key concepts.
    • Communicates changes to HR procedures to HR staff, ensuring a smooth transition and minimal disruption to operations.
    • Develops surveys to gather feedback on training outcomes and effectiveness, analyzing data and reporting on results.
  • HR Project & Data Management
    • Researches and implements new project management tools and templates to track HR workflow and projects, ensuring efficient and effective project management.
    • Monitors projects to meet deadlines and critical milestones, ensuring timely completion and minimal disruption to operations.
    • Prepares and analyzes HR reports for management review, providing data-driven insights to improve operational efficiency.
  • Recruitment Support
    • Supports the recruitment process, including developing job descriptions, application tracking, and scheduling interviews across Central HR units.
    • Maintains and updates recruitment data in HR systems, ensuring accurate and up-to-date information.
    • Gathers and analyzes interview feedback to ensure evaluation of candidates is consistent across departments.
  • Compliance and Policy Adherence
    • Ensures compliance with federal, state, and university employment regulations, ensuring adherence to relevant laws and policies.
    • Assists in the implementation of HR policies and procedures, ensuring a smooth and successful transition.
    • Participates in audits related to HR documentation and processes, ensuring compliance and adherence to relevant regulations.
Requirements
  • Associate's Degree and three (3) years of experience in Human Resources, or a Bachelor's Degree and two (2) years of experience.
  • Excellent interpersonal and communication skills, with the ability to work effectively with diverse groups.
  • Proficiency in MS Office (Word, Excel, PowerPoint), with the ability to learn and adapt to new software and systems.
  • Ability to work both independently and as part of a team, with a strong focus on collaboration and teamwork.
  • Ability to exercise sound judgment and make informed decisions, with a strong commitment to ethics and integrity.
  • Demonstrated strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Previous experience working with confidential information, with a strong commitment to maintaining confidentiality and discretion.
Preferred Qualifications
  • Bachelor's Degree in Human Resources, Business Administration, or a related field.
  • At least two (2) years of experience in HR in higher education or public sector HR operations.
  • Knowledge of HR practices, employment law, and university systems, with a strong understanding of relevant regulations and policies.
  • Proficiency in HRIS (Human Resource Information Systems), with the ability to learn and adapt to new software and systems.
Work Environment

Typical office environment, with occasional extended hours during peak periods or when required to meet deadlines.

Salary Information

Salary Level 25, exempt hiring range.
