Job Overview

Rosenbauer South Dakota, LLC is seeking a highly skilled Project Coordinator II to support the day-to-day business needs of our Project Managers and Company. This role will play a critical part in the production process of our fire apparatus, working closely with Project Managers, Engineering, and Dealer Representatives to produce critical documentation.

Key Responsibilities
  1. Communicate effectively with Project Managers, dealers, and departments within Rosenbauer to ensure seamless production of fire apparatus.
  2. Create and maintain accurate documentation, including first scrub review of contracted files, updating files and tracking costing, and assisting in documentation of customer mid-point and final inspections.
  3. Produce change orders based on mid-point and final inspections, reviewing pricing and verbiage with Project Managers prior to release.
  4. Communicate concerns from employees on the production floor to Project Managers.
  5. Update customers with photos and information regarding their fire apparatus through the construction process, as requested by Project Managers.
  6. Confirm that trucks are following specifications and customer expectations, upon request of Project Managers.
  7. Assist in confirming shipping processes of completed apparatus.
  8. Convert Quote Writer files into various Excel sheets for other departments' use.
  9. Support Project Managers by attending production meetings, running errands during customer visits, and assisting in scheduling events/meetings.
  10. Check for issues and provide solutions for correction according to Quote Writer.
  11. Communicate with dealers through phone calls, emails, and virtual meetings.
  12. Update drawings when changes are needed.
  13. Prepare files for preconstruction meetings and production processes with complete spec sheets.
  14. Lead training sessions with new dealerships on the pre-production process.
Requirements
  • High school diploma required.
  • Bachelor's degree in business administration preferred.
  • 1+ years of sales or customer service experience required.
  • 2+ years of administrative support experience preferred.
  • Previous experience in a Project Coordinator role for a sales group required.
  • Manufacturing experience preferred.
Skills and Abilities
  • Language: Able to find, read, and interpret relevant business periodicals, professional journals, technical procedures, or governmental regulations.
  • Language: Able to write reports and business correspondence in a professional manner.
  • Language: Able to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Math: Able to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
  • Computer: Proficient in Microsoft Excel, especially related to formulas and equations related to sales.
  • Computer: Able to perform intermediate PC functions in Microsoft Office Suite and Quote Writer.
