Position Summary: We are seeking a proactive and detail-oriented Administrative Coordinator to provide comprehensive support to the VP of Enterprise & Employee Experience Communication. This role is essential in ensuring the smooth operation of administrative functions and requires a strong ability to manage multiple tasks effectively.
Key Responsibilities:
- Facilitate daily, weekly, and monthly deliverables, ensuring all administrative planning is executed flawlessly.
- Maintain oversight of all activities within the administrative plan, prioritizing tasks and tracking progress.
- Provide day-to-day administrative guidance to ensure that milestones and compliance issues are identified and addressed promptly.
- Manage complex calendar schedules, coordinate meetings, and arrange travel logistics.
- Oversee budget management in collaboration with the finance team, monitoring expenses and coordinating vendor contracts.
- Prepare timely reports on budget expenditures and assist with financial planning.
- Support the leader with ad hoc requests and organize team meetings and events as needed.
- Proofread and edit documents to ensure clarity and professionalism.
Qualifications:
- A high school diploma is required; a Bachelor's degree in Business Administration, Communications, or a related field is preferred.
- 5+ years of experience in administrative roles or project management is essential.
- 3+ years of experience in a complex environment is required.
Skills and Competencies:
- Detail-oriented with a proven ability to manage executive calendars effectively.
- Strong proficiency in MS Office and other enterprise systems.
- Excellent problem-solving skills and the ability to anticipate executive needs.
- Exceptional oral and written communication skills.
- Ability to handle confidential information with discretion.
- Demonstrated flexibility and a proactive approach to tasks.
