Job Overview:
This role is integral to the administrative team, focusing on daily front-end operations to facilitate seamless workflow within the healthcare practice.

Key Responsibilities:
1. Manage incoming calls, ensuring proper routing and message-taking, while guaranteeing that the relevant healthcare professional receives the necessary information.
2. Provide essential information to callers, adhering strictly to authorized medical guidance.
3. Deliver exceptional customer service to both new and existing patients, fostering a welcoming environment.
4. Create and maintain patient records, documenting all communications within the electronic medical record (EMR) system.
5. Schedule patient appointments and coordinate necessary testing as per requests.
6. Register patients in the EMR, confirming demographic details and collecting accurate health insurance information.
7. Conduct eligibility checks to ensure insurance details are correct.
8. Collect required co-pays and manage any outstanding balances from patients.
9. Follow scheduling protocols to direct patient visits across various practices as needed.
10. Engage in pre-visit planning for upcoming appointments, including insurance eligibility verification.
11. Obtain prior authorizations and insurance referrals as required.
12. Conduct outreach to specific patient groups for care and quality measurement initiatives.
13. Schedule specialty appointments and testing as necessary.
14. Complete tasks within designated EMR buckets as directed.
15. Communicate supply needs to management and assist with procurement.
16. Follow up with providers regarding missing documentation and assist in claims creation within the EMR.
17. Work on assigned revenue cycle tasks as instructed.
18. Operate independently with minimal supervision while adhering to organizational policies.
19. Maintain patient confidentiality with utmost discretion.
20. Perform additional duties as assigned.

Qualifications:
- Strong commitment to customer service excellence.
- Exceptional communication and interpersonal skills.
- Experience with EMR systems is highly preferred, particularly with Athena.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- High School Diploma or equivalent is required.
- One to three years of experience in a medical administrative role is preferred.
