Key Responsibilities:

  • Talent Acquisition/Recruitment:
    • Process all transactions in the CLEAR applicant tracking system daily, including full-cycle recruitment activities.
    • Ensure the integrity and accuracy of the Applicant Tracking System and provide technical support.
    • Coordinate specific positions, prepare interview materials, arrange interviews, and logistics as needed.
    • Track background screenings and job offers to ensure completion and confirmed start dates.
    • Prepare communication with newly hired employees, providing new hire materials, instructions, and answering questions.
    • Support bi-weekly new hire orientations and assist in planning and logistics for 2-day new hire onboarding programs.
    • Prepare termination paperwork, notify relevant functions, and ensure company property return according to policy and procedure.
    • Partner with HR Business Partners to maintain training materials and train METUS Management and new hires on the Applicant Tracking System.
    • Ensure compliance with USCIS requirements regarding I-9s, E-Verify visas, and work authorizations.
    • Prepare and distribute internal job postings.
  • Administrative Support:
    • Research and prepare special reports requiring statistical analysis and/or evaluation, including IPM status, weekly talent and requisition status, temporary employee usage, exit interviews, and others.
    • Reconcile Payroll report with the METUS organization chart monthly to ensure accuracy.
    • Track compliance with license and insurance requirements for employees receiving auto allowance.
    • Ensure proper approval and process for tuition reimbursement, spot bonus awards, employee changes, and employment verifications.
    • Ensure all required legal posters are placed in METUS offices and training locations.
    • Responsible for ADP transactions, such as correcting employee timecards.
    • Prepare invoices for approval and maintain budget-tracking logs.
    • Manage Employee Service Anniversary Awards programs.
    • Administer METUS HR Records Retention programs.
    • Schedule internal meetings.
  • Other HR Support:
    • Assist with benefits administration, benefits events, and annual open enrollment processes.
    • Assist with HR-related topics following company policies, guidelines, and practices.
    • Actively participate in employee engagement and retention initiatives, including surveys, action planning, and employee communication.
    • Manage the METUS HR inbox.
    • Assist with designing and distributing internal Human Resources company-wide communications.
    • Propose and implement process improvement strategies within the HR Department.
    • Coordinate HR-sponsored events and initiatives.
    • Assist other HR team members with special projects.
    • Perform other duties as assigned.

Requirements:

  • Bachelor's degree in a related field preferred.
  • Bilingual, Spanish-speaking, highly preferred.
  • Minimum of 2 years of experience working in Human Resources with emphasis in Employment Procedures, Employee Relations, and HR systems required.
  • Advanced knowledge of Microsoft programs (Word, Excel, Outlook, and PowerPoint) required.
  • Working knowledge of Applicant Tracking Systems required, preferably CLEAR.
  • Working knowledge of state, federal, and wage laws pertaining to Human Resources preferred.
  • Experience using ADP Payroll/HR or similar systems preferred.
  • Working knowledge in operating Talent Systems such as Success Factors preferred.
  • Excellent verbal, written communication, and presentation skills.
  • Service orientation and excellent interpersonal skills.
  • Demonstrated attention to detail and methods of follow-through and follow-up.
  • Ability to juggle multiple responsibilities effectively.
  • Ability to work with all levels in the organization and maintain confidentiality of information.
