Job Summary

University Enterprises, Inc. is seeking a highly motivated and detail-oriented Student Assistant to support the Business Management Branch (BMB) under the close supervision of the Staff Services Manager I or II, Procurement and Contract Services Section (PCSS). The successful candidate will have the opportunity to cross-train in alternative assignments within BMB and develop valuable skills in business operations, procurement, and contract management.

Key Responsibilities
  • Assist Procurement and Contract Services Section (PCSS) staff with processing purchase orders, service orders, encumbrance/dis-encumbrance requests, and contracts, ensuring accuracy in fiscal data and identifying appropriate budget coding.
  • Provide support to BMB and PCSS staff, including scanning documents, responding to emails, distributing and/or requesting information via emails, and coordinating with staff as needed.
  • Conduct ad-hoc research and analysis on issues or proposals impacting the department, obtaining data from various entities, compiling data, analyzing data, and developing displays to visually articulate data.
  • Assist staff in preparing reports, briefing documents, programmatic updates, and planning documents.
  • Monitor project statuses for compliance within the authorized scope, schedule, and budget.
  • Assist with all day-to-day operations of the branch, including calendars, website, trackers, and timelines, coordinating and scheduling meetings and interviews, preparing meeting minutes, maintaining supply inventory, and managing the BMB's I-drive.
Requirements
  • Advanced Microsoft Suite application (such as, Word, Excel, Visio, Outlook, Teams, and PowerPoint) and Adobe experience is required.
  • Effective verbal and written communication skills.
  • Ability to establish and maintain cooperative working relationships with others.
  • Demonstrated ability to have good work habits.
  • Good attention to detail.
  • Dependability and ability to meet program deadlines and exercise good judgment.
Preferred Qualifications
  • Individuals who are, or have been, a dependent child in foster care, a homeless youth, or a formerly incarcerated youth as defined by Government Code section 18220 are encouraged to apply and will be given priority.
  • Previous experience with purchasing or business management.
Working Conditions

The work is performed in a hybrid environment. Students will be required to work according to the current UEI remote workplace policy and sign a UEI telework agreement.
