Administrative Assistant - Inspection

Job Summary

We are seeking an experienced Administrative Assistant to provide support to our Inspection department. The successful candidate will be responsible for general clerical, purchasing, inventory, and accounting tasks, as well as project-based work. The ideal candidate will have excellent communication skills and be able to project a professional company image through in-person and phone interactions.

Essential Duties
  1. Schedule, assign, and track progress for training courses for Inspector Trainees.
  2. Schedule, assign, and track online exams for Inspectors and Inspector Trainees.
  3. Make hotel and travel arrangements for classes, training, and meetings for Inspectors and Inspector Trainees.
  4. Submit inspector information for required licensing in all required cities, counties, and states.
  5. Submit information for Inspector NICET certification.
  6. Track Continuing Education Credits for Inspector NICET certifications.
  7. Backup for Norton Inspection Administrative Assistant for customer and inspector calls.
  8. Email reports to Inspectors and customers as required.
  9. Pull completed tickets and sort for billing.
  10. File reports compliance engine and other portals.
  11. File backflows to AHJ's.
  12. Price out work tickets, note ticket closing remarks, and close.
  13. Email/mail invoices to customers.
  14. Bill quarterly, monthly, and annual billing on accounts.
  15. Create new and re-assign tickets.
  16. Close tickets non-billable for various reasons.
  17. Set up new clients and sites and enter new tickets per MJS or customer call-ins.
  18. Update customer accounts per customer's request.
  19. Update customer frequencies into CRM.
  20. Create PO's.
  21. Email reports to local Fire Inspectors.
  22. Distribute customer PO's when received.
  23. Attend all necessary meetings.

Education/Work Experience

High School Diploma or GED is required. 3+ years of administrative experience is required. Construction industry experience is a plus.

Computer Skills

Significant experience with Microsoft Office applications (e.g., Word, Excel, PowerPoint).
