Key Responsibilities:

The Project Coordinator plays a crucial role in facilitating the development of proposals and project documentation. This position involves monitoring and reporting on the financial status of projects, as well as providing timely updates to stakeholders regarding project progress. The coordinator also assists the Business Office in planning financial actions, ensuring that funding remains sufficient to support project objectives based on performance metrics.

In addition, the coordinator aids in the proposal development process by comprehending requirements and employing appropriate submission methods, including white papers, scope filings, EPRs, SOWs, cost estimations, and formal submissions. The role involves creating project documentation that aligns with internal investment and initiative processes, ensuring compliance with planning, authorization, execution, and project closure requirements.

The coordinator is responsible for preparing and maintaining financial status reports, managing financial structures, and providing updates to relevant stakeholders within the laboratory. They establish cost estimates and compile financial information necessary for submitting comprehensive proposal packages for contract review.

Furthermore, the coordinator tracks project tasks and key deliverables, identifying potential obstacles to escalate to the project manager. They communicate project status updates to both internal and external stakeholders and report on project costs, budget allocations, and cost appropriateness within progress reports.

Utilizing tools such as MS Excel, MS Access, and PowerBI, the coordinator monitors project performance against established reports. They prepare and review financial analyses, forecasts, and budgets prior to submission to the Business Office for approval. The coordinator also reviews project spending, communicates cost status, and tracks staffing forecasts in financial reports to the management team. They execute essential operational tasks for project initiation and closure, coordinating activities such as financial reconciliation, fund de-obligation, charge code closure, and record finalization.

Qualifications:

Minimum Qualifications:

  • Bachelor's degree with 5 years of relevant experience -OR-
  • Master's degree or higher with 3 years of relevant experience -OR-
  • Associate's degree with 14 years of relevant experience -OR-
  • High School diploma/GED with 16 years of relevant experience

Preferred Qualifications:

  • Strong attention to detail and exceptional organizational skills.
  • Excellent communication abilities, capable of presenting complex financial data clearly to stakeholders.
  • Proven ability to manage multiple projects concurrently while meeting deadlines.
  • Proficiency in Microsoft Office Suite, especially MS Excel, MS Access, and PowerBI.
  • Experience in financial forecasting and budgeting.
  • Familiarity with proposal development and submission processes.
  • Knowledge of contract and budget management principles.
  • Experience in performance reporting and financial analysis.
  • Understanding of overhead types and direct funding mechanisms.
  • Familiarity with project closure activities, including financial reconciliation and record finalization.
  • Experience in a laboratory or research setting is preferred.

Additional Information:

This position requires the ability to obtain and maintain a federal security clearance. Applicants must be U.S. citizens and will undergo a Federal background investigation to meet eligibility requirements for access to classified information.
