POSITION SUMMARY

ADMINISTRATIVE SUPPORT ANALYST - INFORMATION TECHNOLOGY

Key Responsibilities:
This role encompasses a range of essential functions, including:
  • Financial Oversight: Aid in the formulation and supervision of the IT budget, ensuring precise and up-to-date financial records. Collaborate on the development and reconciliation of IT internal service fund charges to various departments.
  • Invoice Management: Input accounts payable invoices into the financial system. Oversee invoice processing, including verification, payment, and record maintenance for telecommunications services. Prepare and manage division credit card documentation.
  • Procurement Coordination: Log and manage new equipment deliveries, ensuring effective inventory control and distribution for the IT division and other departments. Facilitate the scheduling of new equipment requests to optimize IT workflows. Process purchase requisitions and liaise with vendors as necessary.
  • Agenda Preparation: Draft and review agenda items for the IT Division.
  • Contract Administration: Oversee and process renewals for various service agreements and contracts.
  • Additional Duties: Assist in the formulation and execution of division objectives and policies. Monitor and manage software licenses to ensure compliance and timely renewals. Provide exceptional customer service by addressing inquiries and directing them appropriately. Organize travel arrangements for staff, including transportation and accommodation bookings.
WORK ENVIRONMENT:
This position is based in a collaborative office setting. A typical work schedule is Monday to Friday, 8 AM to 5 PM, with a one-hour lunch break.

ROLE DESCRIPTION

Under general supervision, this position performs significant administrative, organizational, and analytical tasks related to departmental and county-wide functions. Responsibilities include making recommendations for action and assisting in the development and implementation of policies and procedures.

ESSENTIAL FUNCTIONS
  • Conduct administrative studies related to departmental operations.
  • Determine analytical methods and gather necessary data for evaluation.
  • Analyze options and provide recommendations on organizational structure, budget management, staffing, and policy modifications.
  • Execute special projects and studies pertinent to departmental functions.
  • Prepare reports summarizing findings and recommendations.
  • Support the development and implementation of departmental goals and objectives.
  • Coordinate activities with other departments as required.
  • Engage with representatives from various organizations and the public.
  • Provide technical assistance on administrative and analytical matters.
  • Prepare technical documentation and correspondence.
QUALIFICATIONS

Knowledge:
  • Principles and practices of administrative and organizational analysis.
  • Business applications relevant to budgetary and statistical analysis.
  • Financial and statistical analysis techniques.
  • Public administration principles.
  • Basic budgetary practices.

OTHER REQUIREMENTS:
Some positions may require a valid California driver's license.

EDUCATION AND EXPERIENCE:

Administrative Analyst I: Equivalent to a bachelor's degree in business or public administration or a related field.

Administrative Analyst II: In addition to the above, two years of professional experience in administrative or budgetary analysis at a level comparable to the County's Administrative Analyst I.
