Key Responsibilities:

We are looking for a professional, friendly, and enthusiastic individual with outstanding communication skills. You will play a crucial role in ensuring the smooth operation of our practice and enhancing the patient experience through your attentive and courteous interactions.

  • Welcome patients warmly and manage their check-in and check-out processes.
  • Input new patient information accurately into our systems and verify patient charts for completeness.
  • Assist patients with payment processing and provide billing and insurance information.
  • Schedule appointments and manage patient flow within the office.
  • Maintain patient records and perform various administrative tasks as needed.

Essential Duties:

  • Greet patients in a friendly and professional manner.
  • Handle phone calls, schedule appointments, and manage referrals.
  • Take clear and concise messages for the team.
  • Ensure all patient demographics are accurately recorded during appointments.
  • Review patient charts to confirm all necessary information is collected and signed.
  • Monitor patient activity in the reception area and communicate effectively with patients.
  • Collect patient payments proactively.
  • Update inventory on a weekly basis.
  • Always treat patients with respect and empathy.
  • Process inventory orders as required.
  • At the end of the day, run reports and balance payment totals.
  • Distribute incoming reports and correspondence within patient charts.
  • Address all phone messages, faxes, and interdepartmental mail promptly.
  • Support other staff members as needed.
  • Perform additional duties as assigned by management.

Qualifications:

Education and Experience:

  • High School Diploma or GED (required).
  • 1-3 years of recent experience as a Medical Receptionist in a clinical or surgical environment (preferred).
  • Previous experience in a dermatology setting (preferred).

Skills and Abilities:

  • Exceptional customer service and communication skills.
  • Understanding of HIPAA regulations.
  • Able to manage multiple tasks efficiently.
  • Strong organizational and time management abilities.
  • Capable of thriving in a fast-paced and sometimes stressful environment.
  • Detail-oriented with a focus on accuracy.
  • Familiarity with multi-line phone systems.
  • Proficient in operating standard office equipment (e.g., computers, fax machines, copiers, scanners).
  • Intermediate computer skills and experience with EMR systems.
  • Fluent in English.
  • Able to sort and file materials accurately.
  • Willingness to travel to and provide coverage for other local offices as needed.

Physical Requirements:

  • Ability to sit for extended periods, with some standing, stooping, and reaching.
  • Manual dexterity sufficient for keyboard operation.
  • Correctable vision to 20/20 and normal hearing range for telephone communication.
  • Ability to lift and carry up to 30 pounds.
