Our organization operates four adult day health centers catering to participants in Miami-Dade and Broward counties.
Position Title: Medical Secretary
Position Summary
The Medical Secretary is responsible for delivering administrative support by leveraging specific knowledge of medical terminology and the operational procedures of hospitals, clinics, or laboratories. This role encompasses clerical responsibilities for PACE staff as necessary.
Key Responsibilities
- Manage all incoming calls and warmly welcome visitors and participants; take messages as required and relay them to the appropriate personnel.
- Coordinate all participant diagnostic appointments and medical consultations.
- Request and manage medical records; ensure that all results from laboratory, radiological, and other tests are acquired and communicated to the physician and clinical staff.
- Verify all medications received from the pharmacy daily to ensure accuracy with orders; prepare them with delivery tickets and distribute them to the designated driver.
- Maintain unit-specific documentation in accordance with departmental guidelines and regulatory standards.
- Oversee the Electronic Medical Record system.
- Support the Patient Coordinator by understanding the priorities of the Coordinator role and performing scheduling and coordination tasks as needed, including authorizations; provide authorization for treatments/procedures to hospitals and other providers; enter information into the system and keep an updated agenda.
- Update the daily IDT agenda and document daily IDT minutes.
- Perform clerical and support functions for the department.
- Attend departmental meetings and in-service training as required.
- Order supplies for PACE through the Meditech system.
- Manage clinic traffic flow while exhibiting professional behavior at all times.
Qualifications
Education:
- High School Diploma or equivalent.
Experience:
- A minimum of six months of clerical experience, preferably in a healthcare environment.
Licenses/Certifications:
- Medical secretary certification is preferred.
Required Skills
- Proficient knowledge of medical terminology.
- Exceptional organizational skills.
- Self-motivated and proactive.
- Strong computer skills, including proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Ability to work effectively with geriatric patients.
- Exhibit a compassionate attitude towards PACE participants, their families, employees, and other facility guests.
- Fluency in English is required; bilingual in Spanish/English is necessary.
Work Environment
Normal working conditions with adequate lighting and ventilation. There is no routine exposure to blood/body fluids/tissues, but unplanned activities may involve such exposure.
