Job Description

Job Summary:

The Community Association Manager is a full-time position responsible for managing the common property and marina of Indigo Reef Marina Homes HOA. This role ensures the community is maintained and operated in accordance with company and board objectives.

Key Responsibilities:

  • Community Management: Establish and maintain a working knowledge of the community's governing documents and rules.
  • Property Maintenance: Maintain a safe and secure environment throughout the building(s) and property for owners and guests.
  • Customer Service: Respond to requests for services and information from owners and guests.
  • Site Inspections: Monitor the property and make routine site inspections to identify deficiencies and provide recommendations and action plans to improve the property.
  • Contract Management: Maintain knowledge and understanding of contracts between the Association, vendors, and the company. Ensure all contractual obligations are being met.
  • Project Management: Oversee all construction and special projects and ensure maintenance/improvement and other related projects are completed on time and within budget.
  • Financial Management: Provide financial support with a wide range of functions including reviewing financial statements, submitting and approving invoices, assisting with the creation of budgets, monitoring expenses, and negotiating prices with vendors.
  • Communication: Update Association communications and ensure current information is displayed on the Association boards and/or website.
  • Reporting: Prepare, maintain, and submit a wide range of reports, contract lists, presentations, documents, and manuals as required.
  • Meeting Management: Attend all HOA and ACC Board Meetings and maintain all minutes and records and agendas of meetings.
  • Documentation: Prepare and post all HOA and ACC Meeting Agendas in compliance with state laws and rules of the HOA.
  • Team Management: Assist Board in developing Standard Operating Procedures for management of community and in complying with governing documents and state laws.
  • Insurance Management: Monitor unit and boat insurance documents provided by owners.
  • Security Management: Monitor persons entering property and vessels tying to dock and marina; checks proper credentials, licensing, and insurance.
  • Disaster Preparedness: Maintain disaster preparedness by identifying potential problems, developing response plans, and managing crises.
  • Staff Management: Responsible for ongoing management, supervision, leadership, coaching, and counseling of on-site staff members.
  • Training and Development: Maintain professional and technical knowledge by attending educational and professional workshops and obtaining additional certifications as needed.
  • Communication with Rental Managers: Establish a good working relationship and communication with all rental managers and reports issues or problems with rental guests to the rental managers.
  • Office Management: Maintain and operate an orderly community office, maintains organized files for the property and responds to all correspondence and requests for documents.

Requirements:

  • Education: High School Diploma or equivalency preferred.
  • Experience: Three years of experience in property management, business, hospitality, or other related field; or equivalent combination of education and experience is also preferred but not absolutely required.
  • Supervisory Experience: Prior supervisory experience is a plus.
  • License: Drivers License is required.
  • Skills: Strong organizational and computer skills are required including MS Office, Word, and Excel proficiency as well as Gmail and Google Drive and software.
  • Language: Must speak, read, and write English fluently.
  • Residency: Must have legal residency and appropriate documentation to work legally within the United States.

Knowledge and Skills:

  • Knowledge of State Statutes and Community Documents: Knowledge and ability to apply state statutes and community documents to operation and maintenance of the property.
  • Leadership and Management Skills: Excellent organization, motivation, leadership, management, and interpersonal skills.
  • Communication Skills: Strong verbal, presentation, and written communication skills.
  • Analytical Skills: Ability to read, analyze, and interpret technical procedures, leases, regulations, and sensitive and/or confidential information.
  • Teamwork: Ability to work in a team environment as well as independently. Must be self-driven with the ability to identify, plan, and prioritize projects and assignments.
  • Enforcement: Ability and temperament to enforce rules of the property/community with any violators and call on appropriate authority and law enforcement as needed to effectively enforce written rules of the community.

Working Conditions:

This position works under indoor and outdoor conditions and may be exposed to elements including but not limited to, chemicals, odor, weather, and environmental conditions. The associate must be able to work in an upright standing position for long periods of time, and must be able to sit, walk, crawl, climb, reach with hands and arms, and lift 50 lbs. The employee must be able to navigate quickly and easily the property/building as required to meet the job functions and must be able to detect auditory and/or visual emergency alarms.

The employee must be able to work extended and flexible hours and weekends as needed. Saturday and Sunday will likely be considered regular workdays. Days off will likely be assigned for weekdays.
