Aftermarket Dispatch Coordinator

Factory Cleaning Equipment by Jon-Don LLC is seeking an experienced Dispatch Coordinator to oversee the implementation and maintenance of our systems, procedures, and policies. This role will be responsible for organizing routes, dispatching internal resources, and driving aftermarket revenue. The Dispatch Coordinator will work closely with internal and external customers to ensure quality and timely services are being rendered and guarantee the continued growth and success of the company.
Daily Responsibilities:
- Creation of work orders
- Dispatch jobs based on job type priority and job aging
- Review work orders for notes and accuracy
- Submit completed work for billing
- Manage a personal and shared email account as requests are submitted
- Manage assigned reports
- Submit reports for machine builds
- Communicate with customers on repairs and parts availability
- Communicate with technicians and parts department to ensure they have all tools/parts necessary for jobs
- Work with internal teams to drive service and PM volume
- Work with customers on any service or billing related issues
- Update customers on job status and upsell other FCE product offerings
- Setup customer equipment for transportation to/from shop
- Communicate with inside technicians, road technicians, and drivers daily
- Ensure customers are properly setup for billing and services
- Procure payment as per defined customer terms
- Maintain accuracy of date for internal and external company assets
- Inform internal teams as equipment arrives to locations
- Prepping and testing equipment
- Work with 3rd party service and freight companies
- Maintain and update customer accounts to ensure data is accurate and up-to-date
Minimum Qualifications:
- High school diploma or G.E.D. equivalent required
- Equivalent combination of education and/or experience will be considered
- General understanding of dispatch processes and procedures
- Working knowledge of the Microsoft Office (e.g., Word, Excel, Outlook)
- Excellent computer skills
- Excellent communication skills
- Must possess proficient ability to communicate in oral and written format
- Ability to maintain a high level of accuracy in preparing and entering data
- Ability to effectively apply analytical and problem-solving skills
- Excellent time managing skills with the ability to multi-task, prioritize, and meet deadlines
- Salesforce and Quickbooks experience is not required, but recommended
