Job Summary

As a key member of the Caliber Collision Centers team, the Office Manager plays a vital role in ensuring a World Class Customer Experience. This position is responsible for overseeing a broad scope of accounting and HR-related administrative and management duties.

Key Responsibilities
  • Hiring and Training: Recruit, train, motivate, and monitor the performance of Customer Service Representatives as needed.
  • Team Collaboration: Work closely with the General Manager to create a team environment that produces high-performance results.
  • Customer Experience: Create and maintain a front office environment that embodies World Class Customer Experience through example and oversight of the front office team.
  • Performance Management: Provide direct reports with clear expectations and the necessary tools, training, and information to effectively perform their jobs.
  • Compliance and Accuracy: Ensure R.O. file accuracy and SOP, DRP, and regulatory compliance during repair and prior to vehicle delivery.
  • Payroll and HR Administration: Provide accurate and timely payroll and HR-related administration and recordkeeping for all center associates.
  • Financial Management: Maintain Accounts Receivables, Accounts Payable accounts, and Cash Handling procedures to company standards.
  • Additional Duties: Perform other duties as assigned by management.
Requirements
  • Education: Associate's degree in a related field or an equivalent combination of education, experience, and training that provides the required knowledge and skills.
  • Experience: Minimum 4 to 6 years of customer service experience.
  • Communication Skills: Ability to effectively communicate with others, both orally and in writing.
  • Administrative Skills: Advanced knowledge of general office management, A/P, A/R, payroll, etc.
  • Organizational Skills: Organizational, multi-tasking, and adaptability in a fast-paced environment.
  • Interpersonal Skills: Personable, friendly demeanor with a World Class customer service approach to internal and external customers.
  • Appearance: Maintains a well-groomed, professional appearance.
Working Conditions

This role is based in a climate-controlled, professional office environment with moderate noise levels. The position requires regular use of standard office equipment, such as computers, phones, photocopiers, filing cabinets, and fax machines. Specific vision abilities required include close vision requirements due to computer work. Regularly required to talk or hear, frequently required to stand, walk, use hands to handle or feel, and reach with hands and arms. The job may require lifting up to 20 lbs and long periods of sitting while working at a desk. In the event of travel, the ability to uphold the stress of traveling is required.
