Position Overview:Provide administrative support and clerical assistance to internal stakeholders.

Key Responsibilities:
  • Prepare and manage documents and reports.
  • Type, copy, and distribute correspondence, memos, agendas, and reports.
  • Record minutes during meetings.
  • Coordinate meetings as instructed by the Center Director.
  • Manage meeting space scheduling and maintain an organized calendar.
  • Set up meeting spaces, including room arrangements and refreshments.
  • Establish and maintain an efficient filing system.
  • Support the Center Director by managing their calendar of activities.
  • Screen phone calls for the Center Director.
  • Schedule appointments for the Center Director.
  • Sort and open mail for the Center Director.
  • Run errands as needed.
  • Assist with events and functions organized by the center.
  • Support end-of-day closing procedures as required.
  • Maintain adequate supplies of office materials, patient brochures, and feedback forms.
  • Order Reach Out and Read books.
  • Enter office and medical supply orders into the electronic requisition system.
  • Assist with the entry of Information Services requests and Facility Work Orders.
  • Prepare expense reports for Amex charges and travel costs.
  • Participate in mock emergency drills and provide feedback.
  • Perform additional duties as assigned.
Qualifications:Education:
  • High School Diploma required.
  • Preferred advanced education in an executive assistant or secretarial program, along with other relevant studies.
Experience:
  • At least 2 years of prior experience in a similar or related role.
  • Must successfully complete a Microsoft Outlook assessment.
Skills:
  • Excellent written and verbal communication abilities.
  • Strong organizational skills with the ability to meet deadlines and prioritize tasks.
  • Proficient in computer skills, particularly in word processing.
  • Familiarity with Microsoft Office Applications: Word, Excel, and Outlook.
Additional Requirements:
  • Ability to work flexible hours as necessary.
