The Senior Project Manager, under the guidance of the Chief Technology Officer, will oversee critical software technology development initiatives for the California School Boards Association (CSBA) and its affiliates. This role will orchestrate and manage both internal and external resources to provide technical solutions that align with business requirements while effectively communicating progress and results to leadership, vendors, and team members.
Key Responsibilities
- Direct all stages of the project lifecycle from inception to completion and transition to ongoing operations.
- Lead the project planning process, defining project scope, objectives, timelines, and resource needs to develop thorough project plans and schedules.
- Ensure alignment of program and project results with CSBA's strategic goals.
- Establish and manage committed project scope, deliverables, and requirements with diligence.
- Proactively implement change management strategies to anticipate and address modifications to scope, objectives, and requirements.
- Evaluate the impact of scope changes on project deliverables, timelines, and budgets.
- Guarantee adherence to established schedules.
- Identify and resolve potential delays promptly.
- Take proactive steps to maintain project momentum.
- Effectively allocate and manage all resources (human, financial, informational, physical) to enhance project performance.
- Develop and oversee project budgets, monitor expenditures, and ensure cost efficiency throughout the project lifecycle.
- Quickly identify and address resource shortages.
- Engage with internal and external stakeholders at various levels to comprehend requirements, expectations, and concerns.
- Maintain open communication channels and manage stakeholder relationships throughout the project lifecycle.
- Act as an advocate for CSBA's interests and values when managing vendor relationships, particularly regarding contractual obligations and confidentiality.
- Build and lead cross-functional project teams, ensuring clarity in roles and responsibilities.
- Encourage collaboration and motivate team members to achieve project objectives.
- Identify and mitigate project risks.
- Continuously monitor and manage risks throughout the project lifecycle to minimize their impact on outcomes.
- Implement quality assurance measures to ensure that project deliverables meet established standards and specifications.
- Conduct regular quality assessments and take corrective actions as necessary.
- Ensure technically sound solutions by leveraging both individual and team expertise.
- Provide comprehensive status reports to all project stakeholders, highlighting key milestones, critical paths, progress, and challenges based on data.
- Maintain thorough project documentation, including meeting minutes, action items, decisions, project status updates, and technical documentation.
- Address conflicts and issues within the project team and with all stakeholders in a timely and constructive manner.
- Implement strategies to resolve conflicts and maintain a positive team dynamic.
- Facilitate lessons learned sessions to capture insights and best practices from each project phase.
- Identify areas for improvement and implement enhancements for future projects.
- Incorporate changes, trends, and best practices in association markets, technology, and program/project management.
- Uphold and exemplify CSBA's vision, mission, values, policies, and practices.
- Contribute to strategic plans and objectives by applying subject matter expertise in assigned areas.
- Participate in the formulation of short- and long-term strategies for the association and the department.
- Monitor changes in regulations, legislative issues, education policy trends, and innovations.
- Maintain a current understanding of the education industry, including state and federal laws and local district dynamics.
- Demonstrate respect, integrity, and professionalism at all times.
- Perform a variety of other duties as assigned.
