Contract Position

The HR Records Administrator plays a crucial role in the management of HR documentation. This position is tasked with the systematic collection, organization, validation, filing, retrieval, summarization, and distribution of HR-related records. The individual in this role will handle sensitive information daily, ensuring confidentiality and adherence to the organization's policies.

Key Responsibilities

  • Develop, organize, validate, and maintain employee personnel files.
  • Act as the primary contact for all inquiries related to personnel files.
  • Supervise the scanning and digitization of documents, ensuring they are accessible and searchable within the HRIS.
  • Conduct audits of new hire documentation, including I-9 forms and employment eligibility verification, to ensure compliance.
  • Manage requests for employment verification and prepare necessary employee documentation.
  • Support data collection efforts for compliance audits.
  • Handle incoming correspondence, prioritizing and coordinating responses effectively.
  • Monitor and resolve Help Requests submitted through various channels.

Required Qualifications

  • Proficient in Outlook, Excel, Word, and Adobe PDF.
  • Excellent problem-solving and communication skills.
  • Ability to prioritize, plan, and execute tasks efficiently in a dynamic environment.
  • Experience managing highly confidential records.
  • Background in help desk or customer support roles.
  • Strong initiative and self-motivation.
  • Preferred: Familiarity with UKG and CostPoint systems.
