Administrative Support Specialist

The Administrative Assistant will provide high-level administrative support to the Chief Executive Officer, Chief Medical Officer, Chief Operating Officer, and Chief Financial Officer. This role involves working effectively with external vendors, ensuring compliance with HIPAA regulations, and maintaining regular attendance.
The ideal candidate will have excellent communication and organizational skills, ability to interface professionally and competently with clientele, staff members, and community partners. They must be able to prioritize, manage time, and multitask workload. Own transportation and flexibility with work schedule required.
Key Responsibilities:
- Provide administrative support to senior team members
- Work effectively with external vendors
- Ensure compliance with HIPAA regulations
- Maintain regular attendance
- Produce information and reports by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
- Read, research, and route executive correspondences
- Draft letters and documents for internal and external audiences
- Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Assemble and distribute materials for Board meetings
- Call Board of Directors and committee members as needed to determine attendance for meetings
- Assist in the revision of policies, records, and forms
Requirements:
- High school diploma or GED and one year of administrative assistant experience, or any equivalent combination of experience and training
- Ability to type minimum of 50 words per minute
- Ability to use office equipment including computers, fax machines, telephones, and copiers
- Ability to handle multiple projects and prioritize tasks
- Ability to work well in a fast-paced environment
