Position Summary:

The Front Office Coordinator plays a vital role in overseeing the daily operations of the front office at our practice location. This position is essential in delivering outstanding customer service to both in-person and remote patients as well as clinicians.

Compensation:
Hourly pay is competitive and commensurate with experience.

Key Responsibilities:

Operational Excellence:
  • Foster a positive workplace culture and engage in activities that enhance team morale and connection.
  • Prepare schedules for all patients, ensuring all necessary documentation is complete and accurate.
  • Perform general office tasks, maintaining cleanliness and organization to create a welcoming environment.
  • Communicate effectively with colleagues, clinicians, and patients to support quality care.
Patient Support:
  • Deliver exceptional customer service, addressing patient inquiries and managing sensitive situations with care.
  • Oversee front desk operations, greeting and assisting patients in a friendly manner.
  • Assist patients with inquiries via phone, email, or online portal regarding billing, scheduling, and other requests.
  • Manage phone system queues to ensure timely responses to patient calls.
  • Support patients with telehealth access and troubleshoot any related issues.
  • Handle urgent requests efficiently, directing them to the appropriate departments as needed.
  • Collect co-payments and outstanding balances at the time of service.
  • Verify insurance eligibility and communicate with patients to resolve any discrepancies.
Clinician Support:
  • Provide administrative assistance to clinicians, including handling correspondence and documentation.
  • Coordinate with clinicians regarding patient inquiries and follow-up needs.
  • Ensure appointment accuracy by auditing clinician schedules.
  • Maintain a secure and supportive work environment for all staff.
Qualifications:
  • Ability to manage multiple tasks and prioritize effectively to enhance patient experience.
  • Strong interpersonal skills, both independently and as part of a team.
  • Excellent verbal and written communication abilities.
  • Proficient in computer applications, including Microsoft Office and electronic medical records.
  • Comfortable handling sensitive information in compliance with HIPAA regulations.
Education and Experience:
  • High School diploma or equivalent required; associate's or bachelor's degree preferred.
  • Minimum of one year of experience in healthcare operations or customer service is preferred.
