Position Overview:
The Project Coordination Specialist will deliver essential administrative and operational assistance to Project Managers, ensuring seamless and effective project execution.

Key Responsibilities:
Throughout the project lifecycle, the Specialist will oversee the daily administration of various projects, enhancing communication and coordination of project activities.

Responsibilities include:

  • Maintaining precise information and project status within the ERP and other management systems.
  • Reporting on project progress, challenges, and concerns to Project Managers.
  • Conducting weekly project management discussions to preemptively address issues and keep projects aligned with timelines.
  • Facilitating weekly project status meetings, providing detailed project plans, status dashboards, agendas, and minutes.
  • Creating, maintaining, and tracking project schedules to ensure deadlines are met.
  • Updating progress, cost, and schedule information promptly to guarantee accurate reporting.
  • Managing business expense reporting for project managers in accordance with company policies.
  • Providing responsive support to Project Manager inquiries and engaging with cross-functional teams for effective communication.
  • Coordinating activities with various departments, including Accounting, Procurement, and Engineering.

Qualifications:
Minimum qualifications include a Bachelor's Degree (preferred) and 1-3 years of experience in project management, administration, or coordination roles. Familiarity with ERP software and knowledge of project management principles, accounting, budgets, and billing cycles is essential. Experience in EPC/engineering and the energy sector is advantageous.
