Job Overview

The Office Operations Assistant plays a critical role in maintaining the smooth operation of our office at CitiStaffing. This position requires a highly organized and detail-oriented individual who can provide exceptional support to our team and clients.

Key Functions
  • Provide exceptional customer service to clients and visitors, ensuring a positive experience.
  • Manage phone calls, respond to emails, and handle correspondence in a professional manner.
  • Distribute mail, prepare packages, and maintain accurate records.
  • Coordinate conference room bookings, prepare meeting rooms, and ensure seamless event execution.
  • Oversee inventory, order supplies, and maintain a well-stocked office.
  • Collaborate with vendors, facilities, and IT teams as required.
  • Process invoices, track expenses, and maintain financial records.
Additional Responsibilities
  • Arrange travel, book accommodations, and make transportation arrangements.
  • Prepare expense reports, reconcile statements, and maintain accurate records.
  • File confidential documents, maintain confidentiality, and adhere to data protection policies.
  • Support departmental projects, develop new initiatives, and contribute to team goals.
  • Take on additional responsibilities based on experience and performance.
Requirements
  • Proficient in Microsoft Office applications.
  • Excellent written and verbal communication skills.
  • Prompt and courteous demeanor, with excellent people skills.
  • Highly organized, detail-oriented, and able to multitask effectively.
  • Able to work independently and as part of a team.

Estimated Salary: $48,000 - $65,000 per annum.
