SUMMARY OF FUNCTIONS:


Oversee the daily operations of the leasing team, including delegating daily tasks. Monitor the leasing team's follow-up on new leases and secure renewals.

Review all new lease applications and renewal files to ensure accuracy and completeness of required documentation for all Leasing Consultants.

Demonstrate leadership capabilities to motivate the leasing team and achieve results.

Provide recommendations on pricing strategies or adjustments in leasing tactics. Foster innovation and enthusiasm within the leasing team.

Responsible for converting inquiries from phone and walk-in prospects into leases, maintaining and enhancing occupancy rates, and effectively communicating with current residents to establish a successful renewal program.


Generate weekly/monthly leasing reports, assist the assistant manager with rent collection and posting, and conduct weekly market surveys. Support office administrative tasks, including filing and maintaining lease files according to company policy and computer records.

Conduct daily inspections of targeted vacant units and model apartments, ensuring cleanliness and appropriate marketing materials are displayed.

Responsible for setting up mini models in targeted units. Identify and strive to meet the needs of residents.



ESSENTIAL FUNCTIONS:


Duties may include, but are not limited to:

1)

Marketing:
a. Respond promptly to inquiries from advertising sources to generate prospective resident visits to the property. Maintain a call closing ratio of at least 30%.

b. Show and demonstrate apartments, utilizing relationship sales skills to present market-ready products and availability to close on prospects. Maintain a deposit to show ratio of at least 30% or as defined by the Regional Manager per market.

c. Follow up with prospective residents via thank you cards, emails, and phone calls, and document activities in Yardi.

  • Send a thank you letter on the same day of the initial visit.
  • Follow up with an email within 12 hours of the initial visit.
  • Make a follow-up phone call within 24 hours of the initial visit.
d.

Monitor telephone, walk-in, and online traffic daily at the property using welcome cards and traffic logs, and enter data into the Yardi software system.


e.

Inspect model tour routes and open models daily to ensure quality presentation and perform light cleaning on vacant show units as necessary.


f. Participate in touch-up cleaning of common areas and ensure amenity supplies are replenished as needed.

g. Collect lease information and complete lease applications. Conduct necessary screening and reference checks on prospects. Maintain complete and accurate lease files, including addendums.

h. Lead outreach marketing efforts by connecting with local businesses.

i. Post advertisements on various platforms regularly and update social media as needed.

j. Enter work orders into the Yardi system as submitted.

Follow up on work orders to ensure timely completion and document callbacks appropriately.



2)

Lease Administration:
Ensure lease files are complete and accurate prior to resident move-in.

a. Conduct preliminary move-in inspections and provide move-in gifts to new residents.

b. Perform move-in inspections with new residents and move-out inspections with departing residents.

c. Review welcome packets with new residents during the move-in process.

d. Maintain resident files in an organized manner according to company policy.

e. Update Yardi with new resident information and process move-outs as directed by the Community Manager.

3) Assist with resident retention efforts as required by the Community Manager by contacting residents on the renewal expiration report each month. Document and implement the resident care program.

4)

Assist with resident relations:
a. Respond to incoming emails and voicemails daily.

b.

Address resident concerns regarding rent payments, service requests, and other issues, documenting relevant information in resident files and in Yardi.



c. Assist in preparing newsletters and promotional materials.

d. Support the planning of community activities and events.

e.

Attendance at all resident events is required unless prior approval for absence is obtained from the Community Manager.


6) Complete Fair Housing Training Course and adhere to assigned training timelines.

7) Conduct quarterly audits to be submitted to the Community Manager for review.



SUPERVISORY RESPONSIBILITIES:
This position includes limited supervisory responsibilities, primarily overseeing the leasing team on a daily basis.

FLSA STATUS: Non-Exempt

ORGANIZATIONAL RELATIONSHIP:
Reports directly to the Community Manager.

Collaborates with community team members, including the Regional Manager, corporate support team, staff from sister communities, outside vendors, and service providers.





OTHER REQUIREMENTS:


Hours of Work:
Standard office hours with potential for extended hours as needed.

Should a leasing team member be unavailable, the senior leasing manager is responsible for ensuring coverage for the shift.



Travel:
Occasional overnight travel may be required for conferences and training events.

Transportation:
Must have a reliable vehicle for various management tasks and errands.

Valid driver's license and proof of liability insurance are required.



AMOUNT OF OVERTIME:
Limited to property needs.



PHYSICAL DEMANDS:
Must be able to perform physical functions of the position, including walking the property, completing inspections, delivering communications, and showing apartments. Must be able to communicate effectively with residents, staff, supervisors, and vendors. Ability to lift a minimum of 30 lbs. for tasks such as vacuuming and moving supplies.

EDUCATION AND EXPERIENCE:
High School Diploma or GED required. Two years of college preferred. Two years of relevant business experience.



LANGUAGE SKILLS:

Must be able to communicate effectively with residents, staff, supervisors, vendors, etc.

REASONING ABILITY:
Ability to apply common sense understanding to carry out basic written or oral instructions.



MATHEMATICAL SKILLS:
Ability to perform basic mathematical operations and apply them in practical situations.



COMPUTER SKILLS:
Proficiency in Microsoft Word, Outlook, Excel, and familiarity with Yardi Voyager preferred.

PRE-

EMPLOYMENT TESTING:
Must pass drug test and background screening.



RESIDENCY:
Must meet residency requirements for the community applied to.
