Key Responsibilities:

  • Draft and manage professional written communications.
  • Coordinate travel arrangements and manage expense reports for team members.
  • Provide calendar management and scheduling support in collaboration with the executive support team and external stakeholders.
  • Create, edit, and maintain documents within the Office Suite, ensuring proper record-keeping and archiving.
  • Facilitate the distribution of urgent communications in partnership with the Director and Chief of Staff.
  • Maintain and update contact information for key stakeholders.
  • Collaborate with the Aviation team and the Director to organize flight itineraries.
  • Assist the Director and Chief of Staff in prioritizing follow-ups to ensure timely responses.
  • Oversee the management of incoming and outgoing mail, along with the organization of critical documents.
  • Distribute credentials and tournament tickets to key stakeholders as requested.
  • Coordinate gifting initiatives for important contacts from the Office of the Commissioner.
  • Arrange tee times for key stakeholders upon request.
  • Manage office supply requisitions for the Office of the Commissioner.
  • Provide backup support to the Director and other team members as necessary.
  • Assist with charity matching and distribution efforts.
  • Engage in special projects or additional duties as assigned.

Qualifications:

  • Bachelor's degree in communications, business, or a related field; equivalent education and experience may be considered.
  • A minimum of ten years of administrative support experience for senior management is required.
  • At least three years of experience working with C-Suite executives, with a preference for CEO support.
  • Proficiency in Microsoft Office applications, including Outlook, TEAMS, One Drive/SharePoint, Word, PowerPoint, and Excel.
  • Strong digital and technical literacy.
  • Ability to maintain discretion, trustworthiness, and confidentiality in all job aspects.
  • Exceptional verbal and written communication skills.
  • Proven ability to manage deadlines and multitask effectively in a dynamic environment.
  • Willingness to work evenings, weekends, special events, and holidays as required by business needs.
