POSITION SUMMARY

The Office Manager plays a crucial role in providing operational leadership within the assigned healthcare facility. This position is dedicated to ensuring a patient-centered approach that supports the delivery of top-tier medical care. The Office Manager will also focus on enhancing the financial viability and long-term success of the practice.

KEY RESPONSIBILITIES

  • Oversee all operational aspects of the assigned healthcare facility under the guidance of the Practice Administrator.
  • Assist with billing processes and support patient care coordination within the clinic.
  • Manage patient payment documentation, maintain petty cash, and ensure daily bank deposits are completed.
  • Coordinate staff coverage during absences and develop standard operating procedures to ensure seamless office functionality.
  • Deliver effective clerical and administrative support to ensure efficient patient services.
  • Facilitate patient registration and check-in processes, verifying demographic and insurance information while collecting necessary payments and documentation.
  • Train and evaluate staff performance, addressing human resources issues and contributing to decision-making processes.
  • Analyze clinical, financial, and operational reports to make informed decisions that promote sustainable and profitable operations.
  • Understand and communicate billing policies to patients and staff effectively.
  • Maintain a clean and organized office environment.
  • Lead initiatives to enhance patient satisfaction and experience, utilizing feedback tools and monitoring online reviews.
  • Foster positive working relationships with colleagues, physicians, and support staff.
  • Perform additional duties as assigned.

EDUCATION AND EXPERIENCE

  • A High School Diploma or equivalent is required; a Bachelor's degree is preferred.
  • Previous supervisory experience is essential.
  • 1-2 years of management experience in a healthcare setting is required.
  • Experience in patient scheduling, insurance verification, or financial services within healthcare is preferred.
  • Experience in a high-volume practice or call center environment is advantageous.

REQUIREMENTS

  • A valid driver's license and proof of auto insurance are required.

PREFERRED QUALIFICATIONS

Bilingual skills may be necessary for certain clinics or shifts.

SUPERVISORY ROLE

This position supervises non-physician staff within the assigned facility.

KNOWLEDGE AND SKILLS

  • Exceptional customer service abilities.
  • Strong problem-solving and critical thinking skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and take accountability for results.
