Job Summary:

The Event Coordinator/Personal Assistant will play a dual role in supporting Fast Lane Drive by organizing and managing social car events while providing administrative and personal support to the leadership team. The ideal candidate is highly organized, proactive, and thrives in a fast-paced environment.

Key Responsibilities:
  • Event Coordination:
  • Plan, organize, and execute Fast Lane Drive events, including exotic car drives, social gatherings, and member-exclusive experiences.
  • Handle event logistics such as venue booking, catering, transportation, permits, and contracts.
  • Work closely with vendors, sponsors, and partners to ensure successful event execution.
  • Manage event budgets, timelines, and deliverables to meet organizational goals.
  • Serve as the on-site point of contact during events, ensuring smooth execution and resolving any challenges.
  • Personal Assistant Duties:
  • Provide administrative and personal support to Fast Lane Drive's executive team.
  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Assist with communications, including drafting emails and reports.
  • Conduct research, compile information, and handle ad-hoc tasks as needed.
  • Liaise with internal teams and external stakeholders to ensure smooth operations.
Qualifications:
  • Proven experience in event coordination, hospitality, or a related field.
  • Prior experience as a personal assistant or in a similar administrative role is highly desirable.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills, with the ability to work effectively with members, vendors, and team members.
  • Ability to work flexible hours, including weekends and evenings, to support event schedules.
  • Proficient in Microsoft Office Suite, Google Workspace, and project management tools.
  • Ability to work independently and as part of a team in a fast-paced environment.
