Escrow Operations Coordinator

Pickford Escrow, a leading full-service escrow company in California, is seeking a highly skilled Senior Escrow Assistant to join its team in Indian Wells. The ideal candidate will be a strong team player with excellent communication skills and the ability to work independently. In this role, you will perform various clerical functions, including opening resale escrows, reviewing reports and payoff demands, preparing amendments, and finalizing title transmittals.

Responsibilities:
  • Data Input: Accurately input data for refinance and resale escrows, ensuring timely and accurate completion.
  • Title Orders: Open title orders, obtain legal and vesting disclosures, tax roll, and TRID fee information.
  • Preliminary Reports: Review preliminary reports, carefully noting all items to clear, and ensure accuracy.
  • Payoff Demands: Order and review payoff demands, including private party payoff demands and reconveyance documents.
  • Loan Evaluations: Evaluate loans to determine current status, prepayment penalties, and other charges.
  • Substitution of Trustees: Prepare substitution of trustee and full reconveyance documents for EO review and approval.
  • Notes and Trust Deeds: Prepare notes and trust deeds for EO review and approval.
  • Grant Deeds: Prepare grant deeds, quitclaim deeds, interspousal deeds, and affidavits required for closing.
  • Amendments: Prepare and proofread complicated amendments, including pay bills through escrow, terms of sale, holding funds after closing, and release of funds prior to closing.
  • Lender Items: Obtain and provide lender items required for document and funding conditions.
  • Prorations: Properly calculate prorations for property taxes, supplemental taxes, HOA dues, rents, and other fees.
  • Closing Statements: Prepare estimated closing statements for refinance and sale escrows, calculating demands, payoff interest, prepaid interest, escrow charges, title charges, and account for all bills.
  • Final Title Transmittals: Finalize title transmittals and balance funding figures in settlement menus.
  • Recordings: Authorize recordings as directed and approved.
Requirements:
  • Education: High school diploma or equivalent.
  • Experience: A minimum of one year of previous escrow assistant experience.
  • Knowledge and Skills: Knowledge of escrow, real estate, title, and/or mortgage business; ability to handle multiple line telephone console; strong personal computer skills; ability to work independently; excellent organizational skills with a focus on details to ensure accuracy; effective oral and written communication skills; effective analytical and problem-solving skills; ability to prioritize and handle multiple tasks and projects concurrently.
