Overview

Under the supervision of a designated manager, execute intricate technical accounting tasks related to the preparation, processing, and upkeep of College and District financial records.

Key Responsibilities

1. Maintain diverse ledgers, registers, and journals; post, verify, and balance accounts; generate journal entries.
2. Prepare daily journals from sales receipts; manage credit card charge invoices through the accounts receivable ledger.
3. Confirm account codes for payable invoices; process payments; input payment details into the system and issue checks; ensure the validity of invoices in relation to budgeted funds.
4. Compile financial statements and supervise accounting operations for designated programs such as food services and retail operations.
5. Manage accounts payable and receivable invoices throughout the fiscal period.
6. Analyze transaction requisitions for proper documentation, signatures, account numbers, and sufficient fund balance for payments; enter journal entries for various transactions into general ledgers; amend financial records as necessary; maintain accurate financial documentation.
7. Monitor budgets for various accounts; oversee billing for project reimbursements; verify coding for transactions; prepare monthly budget reports.
8. Bill state agencies for various projects; prepare journal entries for fringe benefits; analyze projects for compliance with accounting standards.
9. Generate expenditure and billing reports for state and county agencies; prepare quarterly and annual financial reports for various departments; calculate quarterly sales taxes.
10. Input payroll data into the system; issue payroll checks and maintain payroll records; gather and send tax form information.
11. Reconcile monthly bank statements for payrolls and accounts; prepare financial statements and reports as required; distribute to relevant agencies.
12. Process student refund requests; monitor fee deferrals; coordinate changes with financial aid; bill enrollment and material fees.
13. Analyze cash flow.
14. Review and approve budget transfers.
15. Supervise and train staff involved in cash collection and processing as necessary.
16. Perform additional duties as assigned.

Qualifications

Any combination equivalent to: graduation from high school supplemented by some college-level coursework in accounting, business, or a related field and two years of progressively responsible experience in fiscal record maintenance, accounting, and reporting.

Knowledge and Skills
KNOWLEDGE OF:
Principles and procedures of bookkeeping and basic accounting.
General accounting and invoice auditing procedures.
Pertinent laws, rules, and regulations related to bookkeeping and basic accounting.
Basic arithmetic.
Modern office procedures, methods, and computer equipment.

ABILITY TO:
Maintain and balance a variety of financial records, ledgers, and accounts.
Perform computational tasks and bookkeeping functions with accuracy.
Audit records and invoices for payment. Read and comprehend financial records, reports, and procedural requirements.
Apply relevant laws, rules, and regulations of bookkeeping and accounting.
Maintain accurate financial records.
Compile data for financial and statistical reporting.
Operate a computer and other office equipment.
Communicate effectively both orally and in writing.
Establish and maintain cooperative working relationships.

SALARY RANGE

$ 4, $ 5,824.45 monthly

Maximum Entry Level Salary: $ 4,330.81 monthly
