Job Summary

We are seeking a highly skilled and experienced Practice Operations Manager to join our team at Dr. Stephen J. Oreski LCSW & Associates. As a key member of our administrative staff, you will be responsible for ensuring the smooth and efficient operation of our psychotherapy practice.

Key Responsibilities
  • Operational Management: Oversee daily office functions, including appointment scheduling, staff supervision, and maintenance of office equipment and supplies.
  • Financial Management: Manage financial records, including billing, collections, and preparation of reports for the Practice Owner/Clinical Director.
  • Regulatory Compliance: Ensure the office complies with all applicable laws and regulations, such as HIPAA and OSHA.
  • Policy Development: Develop and implement policies and procedures to streamline operations and enhance the patient experience.
  • Collaboration: Collaborate with healthcare providers and insurance companies to ensure seamless patient care.
  • Liaison: Act as a liaison between the practice and the community, representing the office at events and meetings.
  • Administrative Support: Provide administrative support to the Practice Owner/Clinical Director and clinical staff as needed.
Requirements
  • Organizational & Time Management: Ability to manage the day-to-day office functions, from scheduling to supervising staff and overseeing operational tasks.
  • Healthcare Regulations Knowledge: Familiarity with healthcare laws and standards, including HIPAA and OSHA, to ensure compliance within the practice.
  • Strong Communication & Interpersonal Skills: Ability to communicate effectively with patients, staff, and external healthcare providers, fostering positive relationships.
  • Financial Management Proficiency: Experience with billing, collections, and financial reporting, providing critical financial insights to the Practice Owner/Clinical Director.
  • Technical Proficiency: Strong skills in Microsoft Office, G-Suite, and practice management software.
  • Leadership & Team Management: Proven ability to lead a team, collaborate with healthcare professionals, and coordinate with insurance companies for smooth patient care.
  • Problem Solving & Decision Making: Ability to develop and implement procedures that improve office operations and patient satisfaction, while making informed decisions in the best interest of the practice.
  • Adaptability & Flexibility: Capable of handling multiple tasks, adjusting to changing priorities, and managing unexpected situations.
