Position Summary:

The role involves performing clerical and administrative tasks associated with the court system, adhering to established guidelines and requiring meticulous attention to detail. A Deputy Court Clerk at the Civil Front Counter will receive training in File and Serve, Odyssey, and Customer Support. Responsibilities include monitoring the online File and Serve database and processing sensitive documents. The role also involves engaging with the public and legal professionals: scheduling hearings, managing filings, implementing court policies, and addressing inquiries.

Key Responsibilities:
  • Serve as the primary contact for the public, assisting with court-related documents in person, via phone, and email;
  • File documents and collect fees at the counter;
  • Process out-of-court cases;
  • Operate office equipment and create legal forms and reports;
  • Sort and stamp documents, ensuring compliance with standards;
  • Manage case files and update databases;
  • Respond to correspondence and maintain accurate financial records;
  • Schedule hearings and manage calendars;
  • Uphold confidentiality and ensure adherence to business hours.

Additional Duties:
  • Cross-train in various areas to cover for absences;
  • Perform related tasks as needed.

Qualifications:
  • High school diploma or equivalent;
  • Familiarity with legal procedures and terminology is preferred;
  • Proficient in computer operations;
  • Strong time management skills;
  • Ability to handle challenging customer interactions calmly;
  • Effective verbal and written communication skills;
  • Ability to maintain confidentiality and foster positive relationships;
  • Accurate cash handling skills.

Work Environment:
  • Onsite work at the courthouse;
  • May require lifting up to 25 pounds;
  • Primarily office-based with standard environmental conditions;
  • Requires mobility and physical reflexes for office tasks.
