Executive Office Coordinator

Key Responsibilities- Executive Support: calendar management, inbox management, expense reporting, document formatting/redlining.
- Internal Meeting Preparation: invitations, room setup, PowerPoint creation, catering requests.
- New Hire Onboarding: orientation scheduling, personalized onboarding packets.
- Contractor Onboarding: Live Events, Retail, Creative, and Corporate departments.
- Event Organization: Culture Committee, budgeting, flyers, calendar invites, shopping, prep/cleanup.
- Bluewater Champion's Club: nominations, judging, prize shopping.
- Catering Requests: client meetings.
- Content Creation: Bluewater Bulletin, BWTV.
- Client Surveys: NPS.
- Phone Call Direction: incoming calls.
- Travel Arrangements: Navan.
- Office Supplies: ordering essentials.
- 4-year degree preferred.
- Proficient in Microsoft Outlook, Word, Excel, and PowerPoint.
- Navan and Q360 knowledge a plus.
- Maintain confidentiality and use independent judgment.
- Excellent communication and organizational skills.
- Ability to prioritize multiple tasks, manage responsibilities, and meet deadlines.
- Proofreading and presenting documents effectively.
- Strong interpersonal skills and ability to build relationships.
