The Patient Care Support Specialist plays a crucial role within the nursing team, directly impacting patient care by ensuring adequate staffing levels across inpatient units. This position acts as a vital link between nursing personnel and administrative management, ensuring adherence to collective bargaining agreements related to staffing, scheduling, and compensation practices.
Key Responsibilities:
- Guarantee the presence of qualified staff daily, in line with the KP nursing workload management system, known as GRASP; produce daily reports that highlight discrepancies between GRASP requirements and actual staffing needs.
- Collaborate with Registry vendors to maintain compliance with The Joint Commission's regulatory standards for external registry personnel.
- Interpret collective bargaining agreements (CBA) to minimize overtime costs and manage vacation selections based on seniority; develop ranking systems for regular staff according to contract provisions and employee availability.
- Document interactions with staff and management to ensure adherence to contract stipulations; may be required to provide testimony in arbitration or legal proceedings regarding such documentation.
- Negotiate with staff to fill vacant shifts as per facility guidelines; create and maintain a computerized master schedule covering all nursing shifts throughout the hospital on a 28-day cycle.
- Address urgent staffing and payroll issues; collaborate with payroll to ensure compliance with CBAs and KP policies for employee compensation.
- Process timecards for bi-weekly payment, interpreting coded timecard modules as necessary.
Qualifications:
Basic Requirements:
- Experience in a similar role.
- Proficient typing skills (minimum 40 wpm) and ability to pass a PC skills assessment.
- Strong analytical skills for interpreting written documents, metrics, and reports generated by the GRASP system.
- Excellent interpersonal communication skills to effectively collaborate with diverse personalities and negotiate staffing coverage.
- Strong problem-solving abilities to devise creative solutions for staffing and payroll challenges.
- Detail-oriented approach to ensure proper documentation of staff discussions and decisions.
- Ability to work independently and make informed decisions regarding staffing and payroll requests.
- Proficient in computer applications such as Word and Excel, with a quick adaptability to the nursing workload database.
- Familiarity with the healthcare environment is preferred.
- High school diploma required; some college education preferred.
