Position Overview:
The Plastic Surgery Center is in search of a dedicated Surgical Scheduling Specialist to join our dynamic, multi-disciplinary team. This role is pivotal in coordinating surgical appointments for our esteemed physicians.

The primary objective of this position is to streamline the scheduling of surgeries for our medical professionals while serving as a patient advocate throughout the surgical process.

Key Responsibilities:
  • Conduct meetings with patients post-consultation, either in person or via telehealth.
  • Provide comprehensive information regarding surgical procedures, including insurance coverage, authorization needs, and applicable rates.
  • Engage proactively with patients, physicians, and staff during clinic hours to enhance patient satisfaction.
  • Organize surgery dates in alignment with the physicians' operating room and office schedules.
  • Communicate with hospitals and surgical centers to confirm surgical dates and times; responsible for submitting reservation forms and updating calendars.
  • Coordinate both inpatient and outpatient surgical procedures.
  • Arrange pre-operative and post-operative consultations with physicians.
  • Supply the Pre-Certification Department with necessary patient information to initiate insurance authorization requests and ensure timely follow-up.
  • May oversee the authorization of surgical procedures and verify patient eligibility, deductibles, and co-pays, providing guidance to patients as needed.
  • Facilitate co-surgical cases with referring physicians and coordinate necessary assistance.
  • Respond to patient inquiries via phone and email promptly.
  • Collect any relevant fees prior to surgical procedures.
  • Document all patient interactions and progress in electronic medical records (EMR).
  • Review daily physician schedules to ensure optimal surgical availability and update relevant calendars.
  • Schedule meetings for physicians, including monthly billing discussions.
  • Demonstrate strong organizational skills and attention to detail to ensure superior patient care.
  • Collaborate effectively with various departments, including front desk, call center, billing, nursing, and credentialing.
  • Exhibit excellent communication skills and maintain a professional demeanor with physicians, patients, and colleagues, demonstrating empathy and understanding.
  • Assist in various capacities during peak times at the front desk or with phone inquiries as needed.
Qualifications:
  • Minimum of 2 years of experience in healthcare and surgical scheduling.
  • At least 1 year of experience with insurance benefits, prior authorizations, and medical policies.
  • Preferred experience in surgical scheduling for Plastic and Reconstructive Surgery.
  • Exceptional customer service skills in both verbal and written communication.
  • Proficient in EMR systems and computer applications, with strong typing abilities.
  • Willingness to work a flexible schedule and travel as necessary based on physician availability.
  • Onsite presence required during clinic hours with physicians.
