Position Summary:

We are in search of a committed Payroll and Benefits Manager to manage and execute employee benefits initiatives. The successful candidate will possess a robust background in benefits management and a dedication to enhancing employee satisfaction through well-structured benefits offerings.

Department: People Team

1. Role Purpose:

The Payroll and Benefits Manager is responsible for delivering comprehensive Payroll and Benefits services to the Operations, shop, and Support Center teams. Key responsibilities include:

Ensuring accurate and timely payroll for the US workforce. This role involves managing the payroll system and providing guidance to managers on utilizing the payroll system effectively. A significant focus will be on enhancing payroll processes and ensuring compliance across all payroll functions.

Conducting benchmarking of benefits against industry standards and recommending adjustments that cater to the diverse employee levels within the organization.

2. Key Responsibilities:

Payroll Management:
  • Overseeing the complete payroll process for all pay cycles and bonus distributions, including managing timelines and necessary documentation.
  • Ensuring payroll operations adhere to legal standards and organizational policies.
  • Managing the execution of weekly and bi-weekly payrolls for a workforce exceeding 700 employees.
  • Maintaining the accuracy and integrity of payroll records.
  • Educating shop managers on their payroll and labor responsibilities.
  • Collaborating with the HR Business Partner to identify training needs for the payroll system and implement updates as required by legislation.
  • Proactively seeking improvements in payroll processes and systems to facilitate ease of operations for both shops and the payroll team.
  • Working closely with the Finance department to ensure seamless processes and systems.
  • Staying informed about legislative changes impacting payroll operations.
  • Ensuring timely responses to Payroll helpdesk inquiries.
Benefits Administration:
  • Managing all employee benefit plans, including their development, enhancement, and communication.
  • Ensuring effective communication with benefits brokers/providers to resolve queries and issues promptly.
  • Overseeing the annual benefits open enrollment process.
  • Assisting in the evaluation of current benefits and proposing necessary changes.
  • Serving as the primary contact for employee benefit inquiries.
Compliance and Scheduling:
  • Monitoring employee schedules against timesheets to ensure compliance with legislation.
  • Ensuring that schedule change fees are accurately applied and compensated to the appropriate employees promptly.
  • Tracking schedule changes and reporting on the number of changes and fees processed.
  • Overseeing overall pay compliance, including auditing records and employee training/communication.
  • Completing annual EEOC reporting with support from the People Team.
  • Maintaining data integrity to ensure accurate issuance of 1095C forms to relevant employees, managing the annual process from start to finish.
3. Additional Responsibilities:
  • Providing support for payroll system training as needed.
  • Ensuring that People reports are updated as required by the team.

  • Capacity to handle confidential information appropriately.
Payroll Management Experience:
  • Proven ability to build effective relationships within the organization.
  • Knowledge of payroll laws in various jurisdictions.
  • Familiarity with Fair Work Week laws and payroll systems is advantageous.
Additional Information:
  • Occasional travel between markets may be required.
