Position Summary:

The Facilities/Purchasing Manager will oversee the management, upkeep, and operational effectiveness of all corporate facilities. This role entails strategic planning, budgeting, and collaboration with various departments to ensure the safe, efficient, and sustainable utilization of the company's physical assets.

Key Responsibilities:

Facility Management:

  • Administer leases.
  • Oversee office maintenance, operations, and equipment leasing:
  1. Print and copy machines.
  2. Fax machines.
  3. Postage meters.
  4. AC system maintenance.
  5. Door locks.
  6. Key administration.
  7. Coordinate janitorial services.
  8. Reconfigure office furniture.
  • Manage property and coordinate with landlords.
  • Oversee document disposal and shredding.
  • Maintain and control security systems.

Purchasing:

  • Request and evaluate bids.
  • Procure IT equipment and supplies.
  • Manage coffee machine supplies.
  • Order office supplies.
  • Acquire office equipment.
  • Oversee breakroom supplies.

Security:

  • Administer security badges for new hires and deactivate as necessary.
  • Create ID badges for new employees.
  • Maintain all security systems, including access control and camera systems.

Health, Safety, and Compliance:

  • Ensure all facilities adhere to local, state, and federal regulations, including health and safety standards.
  • Conduct regular safety inspections and implement necessary corrective actions.

Project Management:

  • Lead and manage facility-related projects, including renovations, relocations, and new constructions.
  • Ensure projects are completed on schedule, within budget, and meet required standards.

Team Leadership:

  • Guide, coach, and develop a team of facilities management and office professionals.
  • Promote a culture of continuous improvement and high performance.

Qualifications and Education:

  • Bachelor's degree in Facilities Management, Business Administration, Engineering, or a related field.
  • A minimum of 10 years of experience in facilities management, with at least 5 years in a leadership capacity.

  • Excellent project management and organizational skills.
  • Strong financial acumen and experience managing budgets.
  • Ability to negotiate and manage vendor contracts effectively.
  • Outstanding communication and interpersonal skills.
  • Ability to collaborate with cross-functional teams.
  • Professional certification (e.g., Certified Facility Management Professional) is advantageous.
