JOB SUMMARY

The Night Reception Specialist is accountable for managing front desk operations during the evening hours. This role entails engaging with arriving, departing, and in-house guests in a professional and courteous manner, providing them with accurate and timely information and services. The specialist will address inquiries via telephone and in-person regarding reservations, hotel amenities, and guest concerns. Responsibilities also include auditing, balancing, and reporting on various hotel areas to ensure adherence to company policies and procedures.

CORE RESPONSIBILITIES
  • Facilitate all guest check-ins by verifying reservations, assigning rooms, and issuing room keys.
  • Handle all forms of payment including room charges, cash, checks, debit, or credit.
  • Manage check-outs, resolving any late or disputed charges.
  • Respond to, document, and process all guest calls, messages, requests, questions, or concerns.
  • Collaborate with Housekeeping to monitor room readiness for check-in.
  • Provide guests with directions and information about the property and local attractions.
  • Generate daily reports (number of arrivals, departures), identify special requests, and ensure report accuracy.
  • Complete designated cashier and closing reports in the computer system.
  • Maintain positive customer relations by staying informed about in-house and local events to provide timely and knowledgeable responses.
MINIMUM QUALIFICATIONS
  • Prior experience in hospitality is preferred but not mandatory.
EDUCATION/ FORMAL TRAINING
  • High school diploma or equivalent experience.
LICENSES / CERTIFICATIONS
  • Not applicable.
WORK ENVIRONMENT
  • Prolonged periods of standing at a climate-controlled workstation.
  • Indoors for 95% of the time.
PHYSICAL DEMANDS
  • Standing, bending, and kneeling for 90% of the shift.
  • Mobility required to assist clients throughout the hotel.
  • Occasional lifting and carrying of files and office items up to 25 lbs.
