Hotel Sales Coordinator

Lincoln Embassy Suites is seeking a highly organized and detail-oriented Hotel Sales Coordinator to join our team. As a key member of our sales team, you will provide administrative support to our sales and event managers, enabling them to focus on revenue-generating activities.

Responsibilities:

  • Greet visitors, answer phone calls, and intake and process incoming lead information.
  • Handle reservation requests, research group billing inquiries, and gather data as needed.
  • Compile reports, maintain files, and prepare correspondence.
  • Interact with group, catering, and business travel customers to qualify and assist existing and future customers.
  • Maintain communication with group customers regarding the status of their group room block.
  • Assist property managers with sales duties, including initial billing inquiries, commission payments, and scheduling appointments.
  • Assist with RFP responses, proposals, contracts, BEOs, and meeting arrangements.
  • Send local Convention and Visitors Bureau (CVB) requests for proposals (RFPs) to the Hotel's assigned Lead Analyst for distribution.
  • Assist Catering & Events Manager with reservation requests and building group master accounts in the brand system.
  • Upload and maintain group files within the sales system for all group bookings at the property level.
  • Maintain inventory and create printed and electronic collateral, including coupons, flyers, and branded sales and marketing pieces.
  • Participate in Sales Department meetings and provide additional administrative assistance as directed.
