Key Responsibilities:
  • Overseeing all daily operations of the Orthodontic team
  • Fostering a positive office atmosphere that aligns with company culture and CORE values
  • Developing staff schedules
  • Managing employee attendance, approving timesheets, and handling time-off requests
  • Welcoming patients warmly, coordinating their check-in and check-out processes, and managing phone inquiries with a positive demeanor
  • Providing coaching and training for the Orthodontic team, including guidance on referrals and periodontal clearances
  • Completing daily and monthly performance reports
  • Managing monthly budgets and goals while controlling expenses
  • Addressing patient service issues to ensure satisfaction
  • Auditing patient accounts for accuracy
  • Reviewing upcoming schedules and auditing accounts as necessary, overseeing the schedules of staff, doctors, and patients
  • Collecting outstanding balances and verifying insurance when necessary
  • Presenting precise patient treatment plans, assessing insurance coverage and patient financial responsibilities for orthodontic treatments, assisting with insurance pre-authorizations, and discussing financing options with patients
  • Overcoming financial challenges
  • Facilitating case acceptance
  • Proficiency in Orthodontic coding and insurance billing is preferred
  • Maintaining flexibility with scheduling changes and effectively communicating updates to patients and staff
  • Performing additional duties as needed to support other Orthodontic teams
  • Travel may be required
Qualifications:
  • At least 2 years of management experience (preferably in a dental setting)
  • Excellent communication and customer service abilities
  • Strong leadership skills with the capacity to lead by example
  • A genuine desire and ability to connect with and serve patients
  • Ability to manage multiple tasks in a fast-paced environment
  • Experience with treatment plans and insurance verification is essential
  • Multi-unit management experience is preferred
  • Familiarity with digital practice software, particularly Ortho Software and Eaglesoft or Dentrix, is preferred
  • Willingness to travel as required
