JOB TITLE: Emergency Transfer Operations Coordinator

DEPARTMENT: EMS Transfer Center

REPORTS TO: Director of Emergency Medical Services

JOB SUMMARY

The Emergency Transfer Operations Coordinator oversees all activities associated with the Transfer Center, which encompasses Emergency Department processes, inpatient transfers, primary care admissions, behavioral health admissions, and transfers from external medical facilities.

JOB REQUIREMENTS

  • Preferred High School Diploma
  • Knowledge of medical terminology
  • Understanding of hospital operations
  • Prior medical experience is advantageous
  • Strong verbal and communication skills

EXPERIENCE

Experience in a Transfer Center setting is preferred, along with previous medical experience.

SKILLS

Ability to communicate effectively in various formats, including oral, written, and electronic, with individuals at all organizational levels.

ESSENTIAL FUNCTIONS

  • Effectively communicate in oral, written, and electronic formats with clients and staff at all levels
  • Establish and maintain collaborative relationships within the department and with clients
  • Ensure satisfaction of employees, physicians, clients, and patients regarding Transfer Center operations
  • Coordinate and integrate resources to deliver efficient customer service in support of Transfer Center functions
  • Maintain awareness of the daily call schedule and connect with appropriate providers based on transfer requests
  • Respond to phone inquiries promptly and professionally, identifying yourself and the organization
  • Manage multiple tasks simultaneously
  • Demonstrate problem-solving, analytical thinking, prioritization, negotiation, conflict resolution, and proactive decision-making skills
  • Develop process improvement initiatives to enhance overall Transfer Center operations
  • Conduct quality reviews, including documentation, call recordings, and staff interactions with clients
  • Investigate and resolve service gaps and process issues in a timely manner
  • Ensure quality and performance metrics are consistently met within departmental functions
  • Maintain a professional appearance in accordance with the organization's uniform policy
  • Act as a personal and professional role model and mentor for staff
  • Provide information and assistance to patients and visitors, ensuring positive interactions
  • Greet patients and visitors courteously, presenting a positive image while directing them appropriately
  • Monitor security systems and initiate procedures as per established policies
  • Communicate with regional facilities daily to update transfer status
  • Promptly receive and dispatch EMS transfers, both internally and externally
  • Handle requests from internal departments for EMS assistance and dispatch personnel accordingly
  • Organize inter-facility transfers for EMS

SECONDARY FUNCTIONS

  • Assist in community education and service activities
  • Perform additional duties as assigned or requested
