ROLE SUMMARY
The College Facilities Coordinator is accountable to the Facilities Supervisor and operates within a structured schedule. This role is crucial for facilitating facility rental services and managing campus safety protocols. The Coordinator serves as the primary contact for both internal and external stakeholders seeking assistance from the Facilities department. Responsibilities include overseeing classroom allocations and supporting various projects related to campus infrastructure.
KEY RESPONSIBILITIES
1. Act as the main liaison for scheduling and pricing related to the rental of college facilities, including classrooms, auditoriums, and athletic venues.
2. Collaborate with multiple departments to coordinate facility usage and ensure all events are adequately supported.
3. Maintain comprehensive records of facility usage and manage the facilities database.
4. Collect necessary documentation from external users, including indemnification and insurance forms.
5. Generate billing statements for facility users and ensure timely payment for services rendered.
6. Oversee the scheduling of classrooms and campus events.
7. Coordinate scheduled maintenance for facilities and prepare relevant documentation.
8. Assist in the selection and evaluation of vendors for furniture and equipment related to facilities.
9. Monitor and manage the budget associated with facility usage.
10. Support campus safety initiatives and compliance with relevant regulations.
11. Participate in emergency preparedness and business continuity planning.
12. Assist with the technical setup for events, including lighting and sound.
13. Provide support to external agencies during campus events.
14. Perform additional duties as required.
QUALIFICATIONS
Knowledge Required:
1. Familiarity with policies and procedures related to facility management.
2. Understanding of project coordination and time management principles.
3. Proficiency in record-keeping and reporting practices.
4. Knowledge of OSHA regulations and hazardous materials management.
5. Understanding of financial accounting practices relevant to public sector operations.
6. Proficiency in enterprise software and Microsoft Office applications.
7. Knowledge of modern office practices and technology.
8. Strong oral and written communication skills.
Skills and Abilities:
1. Ability to coordinate facility usage with effective logistical skills.
2. Competence in performing complex calculations and statistical analysis.
3. Capacity to handle administrative tasks with independent judgment.
4. Ability to interpret and apply relevant policies and procedures.
5. Proficient in writing reports and business correspondence.
6. Capability to manage multiple budgets effectively.
7. Strong interpersonal skills to maintain effective working relationships.

EDUCATION AND EXPERIENCE
1. Associate's degree or equivalent from an accredited institution.
2. Two years of relevant experience in facilities management or public administration.
LICENSES AND OTHER REQUIREMENTS
1. Valid driver's license.
DESIRED QUALIFICATIONS
1. Bachelor's degree in a related field.
2. Familiarity with facility management software.
3. Bilingual skills are a plus.
