Job Overview

We are seeking a committed individual to join our team as a Paralegal Support Specialist. In this role, you will play a crucial part in assisting our legal team and ensuring that our clients receive the highest level of service. Your primary responsibilities will involve collaborating closely with attorneys to prepare essential documentation required for our clients.

As a Paralegal Support Specialist, you will engage directly with clients, discussing the critical documents you are gathering and the specific information they need to provide. Additionally, you will handle various clerical tasks related to client documentation. This position is based in our office.

To excel in this role, you must be adept at explaining financial documents (such as IRA statements, bank account records, life insurance policies, etc.) and their implications to clients in a clear and comprehensible manner. You will be educating clients on significant topics while drafting documents, collecting financial details, and conducting meetings to ensure accurate information is maintained in client files.

This position emphasizes customer service and requires meticulous attention to detail, as well as the ability to communicate effectively about sensitive information. Success in this role demands a blend of efficiency, initiative, and enthusiasm, as you will be the first point of contact for our clients.

Key Responsibilities

  • Engage with clients and other stakeholders to provide timely updates and gather necessary information regarding client assets.
  • Respond to non-legal inquiries from clients regarding case status.
  • Track case processes, deadlines, and critical milestones.
  • Educate clients on the importance of specific items and their relevance to their cases.
  • Assist attorneys in preparing and executing funding plans.
  • Manage and implement funding plans, including liaising with financial institutions to ensure accurate client data.
  • Prioritize conflicting needs and address matters efficiently and proactively.
  • Review client files prior to closure to confirm all tasks are completed and no additional information is required.
  • Ensure successful and timely completion of projects.
  • Welcome visitors to the office, ensuring they feel valued.
  • Continue to grow in the position through ongoing learning and skill enhancement.

Qualifications

  • An associate degree or some college education is preferred; a high school diploma or equivalent is required.
  • Must be able to obtain a notary license within a specified timeframe after employment.
  • Strong background in customer service.
  • Ability to read and interpret financial documents.
  • Professional communication skills across various levels of individuals.
  • Capability to analyze information and convey it effectively to others.
  • High emotional intelligence and interpersonal skills.
  • Efficient work ethic with a focus on detail-oriented tasks.
  • Basic computer skills, including proficiency in MS Office, with the ability to quickly learn new software.
