The Vendor Relations Specialist plays a crucial role in managing vendor orders, ensuring precision, and upholding vendor commitments regarding pricing and accuracy, while mitigating any potential financial discrepancies.

This position requires exceptional communication, interpersonal, and organizational skills to effectively support vendors, clients, and management.


KEY RESPONSIBILITIES

Oversee the ordering and purchasing processes from clients, which includes the completion of all necessary order documentation, transportation requests, packaging specifications, and legal forms for interstate and international shipping, as well as all financial documentation related to transactions.

Conduct thorough audits of all forms to ensure completeness and accuracy, thereby preventing any adverse financial impacts or deductions.
Assist in promoting ADW programs and enhancing sales by aligning with Costco's objectives and fostering strong relationships.

Vendor Order Confirmation:


Confirm all orders with vendors through email, verbal communication, or fax, ensuring that the confirmation includes PO#, quantity ordered, and expected delivery date.

Ensure vendor confirmations match the orders for accuracy and resolve any discrepancies promptly.
Work to minimize deductions by reviewing orders in collaboration with Business Managers.

Smaller Vendor Engagement:
Ensure that vendor demonstrations are scheduled and executed effectively.
Track the availability of all materials required for each scheduled demonstration.
Address and manage member complaints and inquiries.
Maintain a comprehensive understanding of the customer's operations and key competitors.
Receive and manage client samples.

Organizational Responsibilities:
Support the accurate setup of vendors and items in ADW systems with current information and pricing, including orders from BBS and Roadshows.
Maintain updated files for all item specifications, pricing, and common forms in centralized locations.
Ensure all SLH files are organized by vendor.
Fulfill other duties as assigned.

QUALIFICATIONS

Minimum Education and Experience:
A Bachelor's degree or equivalent experience in the industry is required.

At least 1 year of experience in business process solutions, customer service, or office administration is preferred, particularly in manufacturing, costing, pricing, distribution, or product lines.

Experience in food brokerage is preferred.
Relevant experience may substitute for some educational requirements.

Knowledge, Skills, and Abilities:
Strong interpersonal, organizational, and administrative capabilities.
Ability to communicate effectively with vendors, clients, and team members.
Proficient in operating computer systems, particularly MS Office (Word, Excel, and Outlook).
Ability to manage multiple tasks simultaneously, with strong problem-solving skills and attention to detail.
Capable of safeguarding all confidential and proprietary information.
Typing speed of at least 60 words per minute.
A valid driver's license is required, along with the ability to drive for extended periods, including visits to retail locations for competitive analysis.
