Position Summary:
Applebrook Inn Veterinary Center and Pet Resort is a comprehensive animal care establishment situated on nearly 10 acres in the scenic West Chester, Pennsylvania. We provide veterinary services, boarding, grooming, daycare, and training. We are seeking a dedicated individual to contribute to our rapidly expanding facility.


The primary responsibility of the Client Care Specialist is to engage with clients and facilitate communication among veterinarians, technicians, and clients. The ideal candidate will demonstrate strong critical thinking and problem-solving abilities, compassion, a positive demeanor, and exceptional communication and teamwork skills. Availability for some evening and weekend shifts is required.


Key Responsibilities:

  • Professionally handle incoming phone calls
  • Prioritize communications based on urgency
  • Input medical data accurately
  • Coordinate appointment scheduling for both the veterinary center and pet resort
  • Manage client flow efficiently from check-in to check-out
  • Ensure client and patient information is current (e.g., vaccination records)
  • Communicate with clients regarding wait times and the health status of pets
  • Assist distressed or frustrated clients with patience and professionalism
  • Process payments and conduct end-of-day reconciliation
  • Support cleanliness in the facility, including reception and lobby areas, as well as other common spaces.

Qualifications:

  • Basic computer proficiency, including Windows and practice management software
  • Familiarity with veterinary procedures and terminology is essential
  • Ability to lift up to 50 lbs
  • Genuine passion for animal care
  • Strong interpersonal skills to connect with clients in a professional manner
  • Excellent telephone communication skills
  • Patience and understanding when dealing with clients
  • Outstanding organizational abilities
  • Minimum of 1 year in customer service (Required)
  • Minimum of 1 year in a receptionist role (Required)
  • Experience in veterinary reception is preferred
