OC 405 Partners is currently seeking Project Coordinators for various initiatives across southern California. These positions are full-time and based in a field office setting.

Key Responsibilities

  • Personnel Management
    • Handle new hire documentation for craft/field personnel.
    • Maintain and update employee records, including tax forms and union pay upgrades.
    • Facilitate E-Verify processes.
    • Assist project safety teams and IT in coordinating equipment for staff.
  • Financial Administration
    • Manage accounts payable, ensuring accurate 3-way matching.
    • Collaborate with the Project Manager to generate change orders.
    • Communicate with Accounts Payable for seamless operations.
    • Collect certified payroll from vendors.
  • Accounts Receivable
    • Prepare billings for owners and reconcile with payments.
    • Post all incoming payments from owners.
  • Subcontractor Management
    • Prepare subcontractor accruals and statements of value (SOV).
    • Reconcile subcontractor SOVs monthly and finalize for payment.
    • Ensure compliance by collecting necessary documents from subcontractors.
    • Communicate effectively with subcontractors regarding payments.
    • Monitor stop notices and bond claims related to the project.
  • Payroll Processing
    • Receive and verify timesheets from field personnel.
    • Ensure accuracy of cost codes and hours.
    • Enter hours and confirm correctness through reports.
  • Equipment Management
    • Accrue and maintain logs for all equipment hours.
    • Create change orders for monthly equipment purchases.
    • Reconcile equipment hours.
  • Month-End Procedures
    • Prepare comprehensive cash forecasts by project.
    • Finalize subcontractor and owner billings for previous months.
    • Assist in audits as required.
Qualifications

  • High School Diploma is required.
  • 3-5 years of experience in administrative support, preferably within engineering or construction sectors.
  • Excellent communication and interpersonal skills, both verbal and written.
  • Intermediate proficiency in computer applications such as Excel, Word, PowerPoint, and Outlook.
  • Bilingual in Spanish is preferred.
Compensation:

The hourly rate for this position ranges from USD $25.00 to USD $38.00, based on experience and qualifications.
